Description

OCU Group is seeking a highly organised and detail-oriented Bid Coordinator to join our growing Bid Management team. This is an excellent opportunity for someone who thrives in a fast-paced environment and enjoys managing multiple priorities while supporting the delivery of high-quality business opportunities.

As a key member of the team, you will coordinate activities throughout the bid lifecycle, from identifying and tracking tender opportunities to supporting the preparation and submission of compliant, compelling bids. Working closely with Bid Managers and stakeholders across the business, you will help ensure submissions are delivered accurately, on time, and to the highest standard.

Key Responsibilities

As a Bid Coordinator, you will play a pivotal role in supporting the successful delivery of bids and tenders across the business. You will be responsible for identifying and tracking new opportunities, coordinating tender activities, and ensuring bid processes remain organised, compliant, and efficient.

Key Responsibilities Include

  • Monitoring tender portals and identifying new business opportunities aligned to company objectives
  • Supporting bid qualification activities, including bid/no-bid decisions and Expressions of Interest (EOIs)
  • Maintaining tender registers, opportunity trackers, bid documentation, and procurement portal records
  • Coordinating communications between internal stakeholders and managing bid-related enquiries
  • Conducting client, competitor, and market research to support bidding strategies
  • Preparing opportunity summaries, activity reports, and pipeline updates for key stakeholders
  • Supporting the completion of pre-qualification and supplier approval documentation
  • Assisting with the preparation, quality checking, and submission of bid responses to ensure accuracy and compliance
  • Helping to maintain governance standards, bid processes, and reporting requirements across the bid function

Key Requirements Include

  • Strong organisational, planning, and time management skills
  • Excellent attention to detail and accuracy
  • Ability to manage competing priorities and meet challenging deadlines
  • Strong project coordination and administrative capabilities
  • A proactive, self-motivated approach with the ability to work independently and as part of a team
  • Excellent written, verbal, and interpersonal communication skills
  • Ability to build effective working relationships with stakeholders across the business
  • Good analytical and problem-solving skills
  • Proficiency in Microsoft Office applications, including Word, PowerPoint, Excel, and Visio

Previous experience within a bid coordination, administration, business support, or similar role would be beneficial, although not essential. This role would suit someone looking to develop their career within a growing and dynamic bid management function.
