Proposals Co-ordinator – Nuclear

Location: Surrey

Working Pattern: Hybrid – 3 days per week in the office, 2 days remotely

Start Date: ASAP

Contract Outside IR35

Holtmon Jones Recruitment is working on behalf of our client to recruit an experienced Proposals Co-ordinator to support the continued growth of their Civil Nuclear business.

This is an excellent opportunity for an experienced bid/proposals professional to join a specialist team working across the UK nuclear sector, supporting bids and proposals throughout the full pursuit lifecycle. The successful candidate will work closely with the Proposal Manager, Business Development/Sales and Operations teams, coordinating inputs from a wide range of technical and corporate stakeholders to ensure high-quality, compliant and compelling submissions.

Key Responsibilities

You will support the proposal team from receipt of an ITT through to final submission, including:

  • Coordinating the preparation, review and submission of bids, PQQs, SQs, framework responses and capability statements.
  • Managing proposal documentation, including formatting, proofreading, version control and quality assurance.
  • Preparing proposal templates and ensuring submissions comply with client instructions and corporate branding.
  • Maintaining bid schedules, action trackers, tender clarification logs and submission plans.
  • Tracking reviewer comments and coordinating the incorporation of feedback.
  • Coordinating contributions from technical, commercial, legal, quality, HSE and supply chain teams, including external partners and third parties.
  • Supporting bid compliance reviews to ensure responses address all tender requirements, evaluation criteria and mandatory submission requirements.
  • Arranging and supporting bid kick-off meetings, reviews, workshops and lessons learned sessions.
  • Supporting submissions through client procurement and e-sourcing portals, including Ariba, Jaggaer, Achilles, GCA and other relevant procurement systems.
  • Maintaining and developing the proposal knowledge library, including project references, case studies, CVs, organisational charts and standard company information.
  • Supporting opportunity tracking, pipeline reporting and bid governance activities.
  • Contributing to continuous improvement and lessons learned across the proposals function.
  • Ensuring all bid activities are managed with a strong focus on quality, governance, security and confidentiality.

About You

We are looking for an experienced Bid / Proposals professional who is highly organised, detail-focused and comfortable working across multiple stakeholders and competing deadlines.

Essential experience:

  • Minimum 5 years' experience in bid management / proposals coordination.
  • Experience supporting bids within the nuclear, government, defence, engineering, energy or other regulated sectors.
  • Familiarity with UK nuclear industry and/or government procurement processes and terminology.
  • Strong understanding of bid compliance, governance and submission requirements.
  • Excellent written English with a high level of attention to detail.
  • Advanced Microsoft Word skills are essential.
  • Strong Microsoft Office 365 skills.
  • Experience with SharePoint and document collaboration tools.
  • Comfortable working with databases, trackers and reporting tools.
  • Experience coordinating multiple stakeholders and managing competing deadlines.
  • Previous experience working with partners and third parties in a regulated environment.
  • UK national / sole nationality requirement.

Desirable:

  • Previous experience supporting bids for UK nuclear clients or organisations such as Sizewell C, Sellafield Ltd, Nuclear Restoration Services, EDF, Rolls-Royce SMR or related organisations would be highly advantageous.
  • An understanding of nuclear cybersecurity culture and the importance of quality, traceability, compliance and confidentiality would also be beneficial.
