The Role

The Bid Coordinator is responsible for overseeing the collation of business information and evidence to support the creation of compelling bid proposal documentation on behalf of this Contractor to gain business contracts or offer of work.

Key Deliverables

  • Working with the Bid Manager to ensure focused and accurate work winning submissions and presentations
  • Ensure timely production of all bid proposals, capability documents, PQQ’s etc supporting the Bid Manager
  • Take ownership of evidence gathering and bid library, working with support services where necessary
  • Accountable for the collation of project and staff information including data sheets, case studies, and CVs
  • Responsible for Brand Implementation & Consistency

Main Role Responsibilities

  • Management of the Bid Writing library – continual updating to include all regional evidence
  • Evidence collation including CV information database, PIG sheets (project information gathering), and Project Datasheets
  • Completion of RFI/ PQQ questions, plus coordination of project/ evidence specific responses with subject specialists
  • Assist Bid Manager with tender input including launch input, answer planning, and response writing
  • Presentation of documentation through the use of InDesign, Photoshop, Illustrator, and future digital presentation software
  • Regular site visits for evidence gathering and collation of PIG sheets for all regional projects
  • Coordination of all preconstruction documents i.e. Tender / EOIs / SQs etc on Sharepoint / Viewpoint
  • CRM Portal input and coordination
  • Client Portal management
  • Liaison with Marketing and other business support services
  • Assist Bid Manager with pre-tender documents such as capability statements / presentation handouts etc
  • Ensuring of Data Protection compliance in line with legislation
  • Meticulous record keeping of all relevant paperwork, using the operating framework as required
  • Storage of all documentation in SharePoint in accordance with the company’s information management policy and guidelines
