The Role
We’re looking for a Bid Co-ordinator who can bring structure, organisation and momentum to some of our clients’ most important and complex bids.
You’ll work alongside our Project Lead, Associate Bid Leads, writers, designers and subject matter experts, as well as directly with client teams. You’ll coordinate the people, information, deadlines and documents that sit behind a successful bid.
This is a role for someone who likes bringing order to complexity. You’ll be the person who knows what’s due, who owns it, what’s outstanding and what needs to happen next.
Our bids can be complex and fast-moving, so you’ll need to be comfortable when priorities change, deadlines are tight and there are lots of moving parts. Staying calm, organised and one step ahead matters.
You’ll also need to be a self-starter. Bid activity naturally has peaks and quieter periods. When things are quieter, we expect you to look for what could be better – improving processes, organising information, strengthening our bid resources and taking on projects that make the next bid easier to deliver.
What You’ll Own
Bid planning and co-ordination
- Support the Project Lead from mobilisation through to final submission.
- Review and summarise tender documentation, identifying key requirements, deadlines and dependencies.
- Identify gaps, conflicts or ambiguities and help find practical solutions.
- Build and maintain bid trackers, action lists and deliverables schedules.
- Keep the wider team clear on what is required, by when and from whom.
- Coordinate resources and multiple workstreams, sometimes across parallel submissions.
- Monitor progress and identify where priorities or activities need to change to keep delivery on track.
- Report progress, risks and quality issues clearly – wherever possible bringing a proposed solution, not just a problem.

Meetings, actions and communication
- Organise bid kick-offs, progress meetings, workshops and reviews.
- Prepare agendas and make sure the right people and information are available.
- Capture clear actions, owners and deadlines and follow them through to completion.
- Keep communication flowing between Blue Edge, our clients and wider bid teams.
- Build strong working relationships and adapt your approach to different people and situations.
- Confidently follow up when inputs, actions or decisions are overdue.
- Help maintain momentum when deadlines are tight or priorities change.
Document and information management
- Set up and maintain clear bid folder structures and working environments.
- Manage document control, naming conventions and version control.
- Coordinate bid content, CVs, case studies, evidence and supporting information.
- Maintain accurate records of tender information, clarifications and key decisions.
- Support tender portals and electronic submissions where required.
- Maintain reusable bid information and lessons learned.
Continuous improvement
- Use quieter periods proactively to improve how we deliver bids.
- Maintain and improve templates, trackers, libraries and internal information.
- Spot recurring problems or inefficiencies and recommend practical improvements.
- Make good use of technology, including Blue Edge AI and other collaboration tools.
- Challenge unnecessary process where there is a simpler way to achieve the same outcome.

You’ll ideally bring:
- 1+ years’ experience in bid coordination, project coordination, document control or a similar role involving multiple people, deadlines and deliverables.
- Excellent organisation and planning skills, with the ability to juggle multiple priorities and workstreams.
- Strong attention to detail without losing sight of the bigger picture.
- The ability to adapt when deadlines and priorities change.
- Confidence working independently, using your judgement and knowing when to escalate.
- Persistence – you’re comfortable chasing an outstanding action more than once.
- Strong situational awareness and the ability to work with different personalities and seniority levels.
- Strong written and verbal communication skills.
- The ability to take a large amount of information and turn it into a clear structure, plan, summary or action list.
- A problem-solving mindset – when something isn’t working, your first instinct is to understand it and look for a solution.
- Good working knowledge of Microsoft 365 and collaborative working tools.
- Confidence learning and adopting new systems, including AI-enabled tools.
Experience in construction, engineering, infrastructure, rail, professional services or another bid-led environment would be a strong advantage.
Previous experience coordinating complex tender submissions would also be useful, but mindset and capability matter to us just as much as job title.

What Good Looks Like
You’ll know you’re doing a good job when the Project Lead doesn’t need to chase the basics.
The team knows what it needs to do. Actions have owners. Deadlines are visible. Documents can be found. Risks are raised early. Meetings lead to decisions. Reviews happen when they should. And when submission day arrives, we’re not discovering things that should have been dealt with a week earlier.
You bring structure without adding bureaucracy and make it easier for everyone around you to do their best work.
You don’t wait to be told about every problem or given every next step. You understand the objective, use your judgement, ask when you genuinely need help and otherwise keep things moving.
How We Work
We’re remote-first. That’s not a compromise; it’s a deliberate choice. We care about outcomes, not hours. We say things directly and respectfully, take ownership and keep it human.
We’re flexible, but we’re not loose.
We meet quarterly as a whole company and in smaller local groups every two weeks. There may also be times when you’ll work alongside our clients or wider bid teams in person, particularly around key workshops, reviews and submission periods.
What We Offer
- £38,000–£42,000 depending on experience.
- 25 days’ holiday plus bank holidays, with one additional day per year of service, capped at 31 days.
