Facilities Management Company Seeking Bid Writer / Coordinator

A growing facilities management company specialising in social housing is looking for a Bid Writer / Coordinator to join its team on a permanent basis. The role is hybrid, with office time in either of their sites in Leatherhead or Battersea, Southwest London.

The business wins much of its work through competitive tenders across the public and private sectors, and this role will play a direct part in winning more of it.

The successful candidate will sit at the heart of the bid function. They will write responses, coordinate input from across the business and make sure every submission is clear, compliant and competitive. They will also help decide which opportunities are worth pursuing.

Bid Writer / Coordinator Key Responsibilities

  • Running bid qualification on new opportunities to assess fit, feasibility and the approach to winning
  • Helping to shape bid strategy, win themes and key messages, and putting together bid plans with clear milestones and deadlines
  • Coordinating bid teams so that everyone knows what is needed from them and by when
  • Writing original, persuasive tender responses and proposals, and tailoring existing library content so it fits each bid
  • Gathering technical and commercial information from teams across the business, including operations, finance, QHSE and ICT
  • Managing bid administration and tender portal activity to the required standards and deadlines
  • Reviewing submissions before they go out for accuracy, completeness and compliance
  • Keeping accurate records of bid activity, decisions and outcomes, and providing regular progress updates to senior leadership
  • Building and maintaining a bid library of standard answers, evidence and case studies
  • Running lessons learned on successful and unsuccessful bids, and turning feedback into practical improvements
  • Carrying out market and competitor research to strengthen bid positioning
  • Supporting blogs, internal communications and wider marketing activity when needed

The ideal Bid Writer / Coordinator will have:

  • Experience writing or supporting tender submissions, including working with several stakeholders to tight deadlines
  • Excellent written English, with the ability to make complex information easy to follow
  • The confidence to get what they need from subject matter experts without having formal authority over them
  • The ability to stay calm and organised during busy, high-volume periods
  • Strong attention to detail and proofreading skills
  • Good working knowledge of Word, Excel, PowerPoint and Project
  • A general awareness of workplace health and safety

Desirable

  • Experience in social housing or the wider public sector
  • Experience using tender portals
  • APMP qualification at Foundation, Practitioner or Professional level
  • IOSH Working Safely or an equivalent qualification
