esynergy are looking for a proactive and organised Bid Coordinator to take ownership of the coordination and administration of our bid process, from identifying new opportunities through to submission and lessons learned.
We typically manage three or four live bids at a time across frameworks including DOS7, G-Cloud and TS4, so this is a role for someone who enjoys variety, takes initiative and can keep multiple workstreams moving.
You’ll work closely with our Bid Lead, who will own the strategy and quality of each submission, while you take the lead on keeping everything organised, on track and ready for submission.
Responsibilities: 🌟
- Monitor procurement portals, identify new opportunities, coordinate bid-no-bid decisions and maintain our forward-looking pipeline.
- Manage the administration of multiple live bids, including setting up trackers, organising meetings, coordinating contributors and keeping deadlines on track.
- Check responses against client requirements, coordinate final submission packs and manage timely, accurate submissions.
- Maintain and organise case studies, CVs, boilerplate content and accreditations, ensuring everything is current and accessible.
- Track bid outcomes, gather feedback, coordinate lessons learned and maintain supplier portal profiles and framework requalification dates.

Requirements: ✔️
- A confident communicator who enjoys working with people at all levels, from graduate associates through to senior leadership and external buyers.
- Someone proactive and comfortable taking ownership, chasing contributors and challenging missed deadlines when needed.
- Strong organisational skills, with the ability to manage several bids in parallel without losing sight of the detail.
- A forward-thinking approach, spotting opportunities, potential issues and gaps early rather than waiting to be asked.
- Confidence working with SharePoint, Excel, Slack, Outlook and government procurement portals, with the ability to pick up new systems quickly.
- A high level of attention to detail, particularly when reviewing documents, managing compliance requirements and preparing submissions.
- A collaborative approach, bringing people together and keeping communication clear throughout the bid process.
- Experience in bid coordination, bid management or public sector procurement would be valuable, particularly if you’ve worked with frameworks such as DOS, G-Cloud or Technology Services. Most importantly, we’re looking for someone who is organised, takes initiative and enjoys making complex processes run smoothly.
