Help us make a difference as a Bid Coordinator

Monday to Friday | 37.5 hours per week | Standard office hours

Hybrid working - with the opportunity to work from home, alongside regular time in our High Wycombe office, typically around three days a week.

A quick look at the role

As a Bid Coordinator, you'll provide essential coordination and administrative support to our Business Development and Bid Management teams, helping us identify, manage and submit high-quality, compliant tender opportunities. You'll play a key role throughout the end-to-end bid process, coordinating information from operational, commercial and finance teams, managing documentation and deadlines, and helping ensure submissions are delivered accurately, on time and in line with Biffa's governance requirements.

Core Responsibilities

  • Monitor procurement portals, framework providers and client websites to identify relevant new business opportunities.
  • Coordinate the preparation and submission of SQs, PQQs/PSQs, ITTs and other tender documentation, ensuring requirements and deadlines are met.
  • Maintain accurate opportunity trackers, tender registers, bid systems and compliance records, providing clear reporting and management information.
  • Coordinate contributions from Business Development, Operations, Finance, Commercial and subject matter experts, arranging meetings and tracking actions through to completion.
  • Manage bid documentation, version control, supporting certificates and accreditations, ensuring submissions are accurate, complete and compliant.
  • Support continuous improvement by identifying efficiencies, capturing lessons learned and helping develop effective bid and business development processes.

Our Essential Requirements

  • Experience in an administrative, coordination, business support or bid support role, with the ability to manage multiple priorities and competing deadlines.
  • Excellent organisational skills and attention to detail, with experience maintaining trackers, databases, records and document management systems.
  • Strong written and verbal communication skills, with the confidence to coordinate information and build effective relationships with stakeholders at all levels.
  • Good working knowledge of Microsoft Office, particularly Word, Excel, Outlook and PowerPoint, with strong document management and coordination skills.
  • A proactive, self-motivated and adaptable approach, with the ability to work independently while contributing positively as part of a wider team.
