About The Role

Bid Lead

Permanent position – Hybrid working, 3 days a week in the office

Oldmeldrum, Aberdeenshire (Approx. 20 mins from Aberdeen centre)

The Role

Reporting to the Bid Manager, the Bid Lead is responsible for managing the accurate and timely preparation, coordination and submission of small to medium-size bid documents to support business development and contract awards.

This is a fast-paced role that requires strong communication and coordination skills, with regular interaction across all levels within internal teams as well as external suppliers and clients.

Key Duties And Responsibilities

  • Lead the bid process for assigned bids from initial enquiry through to submission, ensuring the timely delivery of high quality and accurate bid documentation within full compliance of customer instructions and in accordance with approval processes.
  • Liaise with, and coordinate input from internal stakeholders including sales, technical, operations, finance, HSE, legal and tax teams for bid submissions.
  • Support management of client queries and post-bid activities including clarifications, feedback, attending client meetings if required and contract handovers.
  • Monitor bid opportunities and distribute relevant information to stakeholders, maintaining bid trackers, logs, and reporting tools.
  • Maintain accurate and up-to-date records in Salesforce (CRM), ERP tools and submission via client portals or email, ensuring correct upload and document integrity.
  • Contribute to continuous improvement of bid processes, tools and templates, supporting efficiency, quality, and consistency of output

What We’re Looking For

  • Strong organisational and time management skills with the ability to manage multiple deadlines.
  • Proactive and able to work independently with limited supervision.
  • Excellent written and verbal communication skills with strong attention to detail, accuracy and compliance.

Key Skills, Knowledge And Experience

  • Previous experience in a tender, bid, or proposals coordination role with multiple concurrent bids or tenders within a cross-functional team.
  • Experience using tender portals and document management systems.
  • Proficient in Microsoft Office packages, particularly Word and Excel.

Ideally You Will Have The Following Also

  • Degree or HNC qualified in either a Business or an Engineering related subject.
  • Experience in either Marine, Renewables, Oil & Gas or other energy related industries.
  • Experience with CRM package (Salesforce, Dynamics etc.).
  • A flexible approach to working is needed as occasional travel may be required.
