Bid Portal Administrator
We have an exciting opportunity for a Bid Portal Administrator to join a growing team of win professionals who work closely with technical colleagues across the business to secure new projects and drive growth. This is a new role within the organisation which will support our continued professionalisation of work winning approaches.
In this role, you will ensure the smooth-running of the tender tracking and intelligence gathering system within Ridge. You will be responsible for using our systems to identify and track new business opportunities and see that these are cascaded to the appropriate individuals across our UK business. You will also be actively involved in gathering client and market information to support teams in making informed decisions - whilst seeing that we embed insight into our Customer Relationship Management tool.
The individual could be based out of any of Ridge's UK locations – with an expectation that they would typically be in the office a minimum of three days each week. Although based in a local office, the individual will work as part of a wider likeminded community of bid managers, coordinators and writers who are sharing best practice and driving improvement across the UK.

- Maintaining a matrix of key contact points across our client facing sectors, technical disciplines and offices to enable the distribution of market intelligence and tender notices across the business
- Maintaining a log of CPV codes and keywords which match Ridge's business interests which can be used to structure and refine searches – continuing to evolve this in line with our structure and growth
- Using our business intelligence tool to monitor public and private sector contract opportunities, awards and market spend analysis – undertaking daily searches as required to support the business
- Ensuring appropriate tender opportunities are identified, logged and communicated to the right people using the codes, key words and contact matrix so that no relevant information is missed
- Seeing important client or opportunity information is entered / maintained within the tracker database and / or our Customer Relationship Management system to support timely decisions (e.g. bid / no bid)
- Following-up with the teams with whom information has been shared to see that there is sustained momentum, clear ownership and timely decision-making – seeing that every opportunity is reviewed
- Undertaking research into market, client or competitor information in response to requests from sector leaders, account managers, technical discipline leaders and framework managers
- Providing day-to-day administrative support to the leaders of our strategic long-term framework contracts to help promote and manage these important contracts (internally and externally)
- Acting as one of our ‘super users' who support the roll-out, training day-to-day use and continued improvement of our Customer Relationship management System as a single source of truth
- Producing monthly and quarterly reports to provide leadership teams with summary information about markets, opportunities and our bidding performance (e.g. win / loss ratios)
- Continuing to challenge and drive improvement in our bidding and data management approaches as we make best use of information, support collaboration across teams and drive ongoing efficiencies

To Succeed in this Role, You'll Have:
- Experience in a similar role within a professional services, consultancy or construction environment
- Excellent communication and interpersonal skills – building trusted relationships with stakeholders
- A proactive mindset with the confidence to follow up actions and keep things moving
- A self-motivated mindset driving personal organisation, time management and attention to detail
- Resilience – the ability to deal with challenging and changing priorities in a fast-paced environment
- The ability to work efficiently and meet deadlines with enthusiasm, determination and drive
- Advanced IT skills – Microsoft Office - Outlook, Word, Excel and database / CRM software
- Previous experience in monitoring procurement portals and tender platforms would be an advantage
Qualifications
- APMP certification or an equivalent bid management qualification would be an advantage
- Strong Microsoft Office skills, including Word and PowerPoint
- Proficiency in relevant software / systems (CRM, knowledge management, AI etc)
