DMS Property Maintenance

DMS Property Maintenance is an established property maintenance contractor delivering repairs, maintenance and planned works services across the housing sector.

As our business continues to grow, we are looking for an experienced and proactive Bid Writer to join our team.

Previous experience working with tenders, bids, frameworks and/or accreditations within the property maintenance, construction, social housing or a closely related industry is essential for this role.

This is a varied position with real ownership. You will be responsible for identifying and coordinating tender opportunities, managing company accreditations and ensuring the compliance documentation required to support our bids and contracts is accurate, current and readily available.

The Role

You will manage the tender process, from identifying suitable opportunities through to coordinating submissions, maintaining accreditations and keeping supporting documentation organised and up to date.

Key responsibilities include:

  • Identifying and monitoring relevant tender, framework and procurement opportunities.
  • Reviewing new opportunities and highlighting suitable contracts for the business.
  • Coordinating and preparing tender, PQQ, SQ and framework submissions.
  • Managing procurement portals, submission requirements and tender deadlines.
  • Working with operational, commercial and management teams to gather information for submissions.
  • Preparing and maintaining high-quality standard tender responses.
  • Maintaining an organised library of company policies, certificates, case studies and supporting evidence.
  • Managing company accreditations, memberships and certification renewals.
  • Monitoring expiry dates and ensuring renewals are completed on time.
  • Completing accreditation questionnaires, applications and annual assessments.
  • Maintaining compliance records relating to insurance, health & safety, training, quality, policies and other company requirements.
  • Liaising with clients, procurement teams, accreditation bodies and other external organisations.
  • Maintaining accurate records of submitted tenders, upcoming opportunities and outcomes.
  • Supporting reviews of successful and unsuccessful bids to continually improve future submissions.
  • Helping develop and improve the company's tender and accreditation processes.

About You

We're looking for someone who already has relevant industry experience and understands the requirements involved in producing compliant, accurate and professional tender submissions.

Essential:

  • Located within Kent
  • Previous experience in a tender, bid, procurement, accreditation or similar role within property maintenance or a closely related industry.
  • Experience preparing or coordinating tenders, PQQs, SQs and/or framework submissions.
  • Experience working with procurement or tender portals.
  • An understanding of compliance documentation and accreditation requirements.
  • Excellent written communication skills and a high standard of written English.
  • Excellent attention to detail.
  • Strong organisational skills with the ability to manage multiple deadlines and priorities.
  • Confidence using Microsoft Office, particularly Word and Excel.
  • Ability to work independently and take ownership of submissions from start to finish.
  • Ability to coordinate information from operational, commercial and management teams.

Desirable:

  • Experience managing company accreditation schemes and renewals.
  • Experience working with housing associations, local authorities or public-sector procurement.
  • Familiarity with industry accreditation and compliance schemes.
  • Experience maintaining tender libraries, standard responses, policies, case studies and supporting evidence.
  • Experience reviewing tender outcomes and improving future submissions.

Job Details

  • Job Type: Part-time with flexible overtime, permanent
  • Hours: Approximately 15- 20 hours per week, with flexibility to increase hours significantly during busy tender periods and where submission deadlines require.
  • Working Pattern: Flexible. Hours may be worked across weekdays, evenings and weekends to suit the successful candidate, provided agreed responsibilities and deadlines are met. Some availability during our core office hours of Monday–Friday, 8:00am–4:00pm will be required for meetings, calls and communication with the wider team.
  • Location: Must live within Kent, Working from home is preferable, though office based option available
  • Salary: £20.00 per hour, depending on experience, package negotiable
