The Role
We are looking for an organised, proactive and creative Bid Assistant to join our Work Winning team. Working under the guidance of our Bid Co-ordinators, you will help prepare proposals and tender submissions for architecture, planning, landscape and other design-led projects.
This is a junior role focused on research, administration, content gathering and document production. You will support several bids at different stages, helping the team produce accurate, well-presented submissions. Bid Co-ordinators will lead bid programmes, manage contributors and oversee the final response; you will help them deliver that work and develop your knowledge of the bid process.

Key Responsibilities
- Check contract notices and bid portals, record relevant opportunities and pass them to the Bid Co-ordinators for review
- Gather background information to support go / no-go discussions led by senior colleagues
- Update bid trackers, schedules and document folders, flagging upcoming deadlines or missing information
- Request and collate project details, team CVs, images and other material from design teams and external collaborators
- Update standard content, including practice information, project case studies and CVs
- Help draft straightforward responses using approved information and guidance from the Bid Co-ordinators
- Proof read and check submissions for accuracy, consistency and compliance with client instructions
- Format documents and presentations using agreed templates, including supporting InDesign production
- Record clarification questions, submission outcomes and feedback, and help keep the bids platform up to date
Requirements
Essential
- Strong administrative and organisational skills, with good attention to detail
- Clear written communication and proofreading skills
- Ability to manage assigned tasks, meet deadlines and raise questions when guidance is needed
- A collaborative approach and confidence communicating with people across different teams
- Good working knowledge of Word, Excel and PowerPoint

Desirable
- Experience supporting bids, proposals or other deadline-driven documents
- Familiarity with Adobe InDesign, or an interest in learning it
- An interest in architecture, design, construction or the built environment
- Awareness of bid processes or public-sector procurement
