About The Role
We are seeking a highly organised, proactive, ambitious and detail-focused Bids & Proposals Coordinator to support our Customer Solutions function.
This is an exciting opportunity for someone looking to develop a career in bid management, business development and customer solutions within a fast-growing technology business serving the public sector and social housing market.
You will play a central role in coordinating tenders, bids, proposals and framework applications, ensuring opportunities are managed efficiently from identification through to submission. Working closely with the Customer Solutions Director and the wider Sales team, you will help drive process excellence, maintain bid governance and ensure high-quality submissions are consistently delivered on time.
This role would suit either an individual with some bid coordination or project management experience or an exceptional graduate who can demonstrate outstanding organisational ability, attention to detail and written communication skills.
Key Responsibilities
Bid & Tender Coordination
- Coordinate the end-to-end bid and proposal process across multiple opportunities.
- Manage bid programmes and submission timelines, ensuring all activities are planned, tracked and delivered on schedule.
- Develop and maintain detailed bid plans for individual opportunities.
- Schedule and coordinate bid kick-off meetings, reviews and submission sign-off activities.
- Track progress against deadlines and proactively identify risks to successful submission.
- Ensure all bid documentation is accurate, compliant and completed to a high standard.
- Support the production and submission of proposals, tenders, presentations and supporting documentation.
- Monitor activity across submissions inboxes, procurement portals and internal trackers so that opportunities are identified, logged and promptly issued to the right people.
- Set up, structure and manage a controlled working environment for each bid (e.g. Microsoft Teams sites) to enable collaboration across the wider stakeholder teams.
- Maintain bid libraries, case studies, reference materials and standard response content.
- Work with subject matter experts to gather and coordinate responses to tender requirements.

Proposal Quality Assurance
- Perform detailed reviews of proposal content to ensure consistency, clarity, accuracy and compliance with customer requirements.
- Proofread and quality assure all submission materials, ensuring exemplary presentation, grammar and written English.
- Challenge and improve content quality to maximise the effectiveness of submissions.
- Support the ongoing development of standard content and response templates.
- Over time, take increasing ownership of drafting and developing non-technical proposal content.
Framework & Procurement Portal Management
- Act as the primary administrator for procurement and tender portals.
- Monitor portals for new opportunities, notices and communications.
- Manage clarification questions, responses and all associated correspondence.
- Maintain organisational profiles, accreditations and supporting documentation across procurement platforms.
- Coordinate applications to join new procurement frameworks and manage framework renewal activity.
- Ensure critical framework and portal deadlines are tracked and managed effectively.
Stakeholder Coordination & Governance
- Drive engagement from internal stakeholders throughout the bid lifecycle.
- Ensure contributors understand their responsibilities and deadlines.
- Maintain clear communication across all bid activities.
- Produce and maintain simple reporting on bid pipeline activity and progress.
- Champion structured bid governance and best practice throughout the organisation.
Customer Solutions & Sales Support
- Provide day-to-day coordination and organisational support across the sales team.
- Support process mapping, process improvement and the rollout of new bid and sales methodologies.
- Assist with customer-facing presentations, workshops and sales collateral.
- Support wider sales and pre-sales activities where required.
- Provide administrative and coordination support to strategic business development initiatives.

Essential Skills & Experience
- Exceptional organisational and planning skills.

- Strong Microsoft Office skills, particularly Word, PowerPoint and Excel.
- Ability to work independently while coordinating across multiple teams.
Desirable Skills & Experience
- Experience supporting bids, tenders, proposals or procurement activities.
- Experience using tender portals and procurement frameworks.
- Understanding of public sector procurement processes.
- Experience within software, SaaS, technology or digital services environments.
- Experience working with social housing or public sector organisations.
- Exposure to CRM systems such as Dynamics, Salesforce or HubSpot.
- APMP Foundation qualification or interest in pursuing professional bid qualifications.

- Develop the skills and knowledge required to take increasing ownership of proposal content creation.
