The Role
The role of a Billing & Support Coordinator is to manage open Professional Services orders, maintaining each order through to completion. This includes making amendments, requesting regular updates on the status of work, issuing client sign-off forms and billing the order once the work is complete and the appropriate documentation has been received. The Coordinator is also responsible for maintaining accurate data within the Professional Services Power BI.
What You Will Do
- Own the monthly billing process, optimising the monthly Professional Services commercial position through the timely, accurate billing of completed engagements.
- Manage open purchase and sales orders end to end, setting realistic ETA dates, chasing regular status updates, and closing orders off promptly to maintain an accurate commercial position.
- Raise purchase orders for third-party Professional Services accurately and within agreed SLA timeframes.
- Reconcile contractor and agency-worker timesheets against open purchase orders and invoices to support accurate, timely payment.
- Create, issue, and manage client sign-off documentation, ensuring approvals are obtained, recorded and stored correctly.
- Complete compliance checks for ITAD (IT asset disposition) ensuring documentation meets required legal and internal standards.
- Accurately capture and upload data to keep Power BI reporting reliable for management and Professional Services teams.
- Review weekly Power BI reports and resolve any highlighted inaccuracies.
- Contribute to Professional Services forecasting and revenue activities to support accurate planning and reporting.
- Act as a key point of contact for the Resourcing team, Sales Account Managers, and Suppliers, managing clear and responsive communications through the shared mailbox.
- Build strong working relationships, engage with external and internal stakeholders and keep requesters proactively informed using collaboration tools.
- Take ownership of new requests, amendments, or escalations to ensure an accurate and timely resolution with all key stakeholders kept informed of status.
- Consistently follow team processes, achieving at least 95% accuracy each month.

- Highly organised with strong decision-making skills.
- Previous experience in an administrative role.
- Strong communication skills. Proficient with the use of Microsoft Office products, such as Outlook, Word & Excel.
- Quality focused with excellent attention to detail.
- Able to work with established procedures with moderate supervision.
- Results-oriented with a track record of success for achieving and exceeding goals.
- Ability to develop and build relationships with a range of stakeholders.
