Block Management & Legal Administration Assistant
Exeter | Office-based | Full-time
Our Residential Block & Estate Management department is growing—and so is the administration that keeps it running properly.
We’re looking for an exceptionally organised assistant to support our Property Managers with the documents, records, enquiries, contractor instructions and follow-ups involved in managing residential developments.
This is a hands-on support role. You won’t be expected to manage your own portfolio, but you will play an important part in helping those who do.
What you’ll be doing
Your responsibilities will include:
- Maintaining accurate property, development and leaseholder records
- Preparing correspondence, notices and resident communications
- Organising documents for meetings, AGMs and new-development onboarding
- Recording and monitoring important dates and outstanding actions
- Assisting with lease, legal and compliance administration
- Collating information for LPE1, FME1 and conveyancing enquiries
- Liaising with Property Managers, Finance, solicitors and conveyancers
- Obtaining contractor quotations and raising approved works orders
- Coordinating access for repairs and maintenance
- Monitoring outstanding work and chasing updates
- Keeping contractor insurance and compliance records up to date
- Making sure documents and correspondence are correctly filed

What we’re looking for
You’ll need to be:
- Highly organised and methodical
- Accurate, even when things are busy
- Comfortable managing several tasks and deadlines
- Confident communicating with residents, contractors and professionals
- Proactive about following matters through
- Discreet with confidential information
- Competent with Microsoft Office and general business systems
- A helpful and dependable member of the team
Experience in property, block management, conveyancing, legal administration or contractor coordination would be helpful—but it isn’t essential if you have the right transferable skills and attitude.
