Located in the Wimbledon Quarter Shopping Centre in Southwest London, our first UK clinic is a 33,000 sq ft ambulatory Clinic bringing together advanced diagnostics, outpatient services and theatres under one roof. Services include a Private GP, an Express Care minor injuries unit, consultant and treatment rooms, multimodality advanced diagnostic imaging (3T MRI, 1.5T MRI, CT, X-Ray and DEXA), surgical theatres and inpatient ward facilities.
About The Role
We are looking to recruit a Bookings Administrator to join our Patient Administration team, with a competitive salary on offer depending on experience. You'll be responsible for handling incoming calls and email requests, booking and scheduling patient appointments across our outpatient, diagnostic, day-case and Express Care services, and ensuring every patient has a smooth, well-coordinated journey from first enquiry onwards.

What will the duties include?
- Answering incoming calls and administering email requests from patients, GPs, consultants and insurers, from referral through to appointment booking.
- Booking, amending and rescheduling patient appointments across outpatients, diagnostics, Express Care and day-case services.
- Coordinating the availability of rooms, equipment and consultants to ensure appointments are scheduled efficiently and accurately.
- Ensuring all patient and booking information — including demographics, referral details and clinician/procedure requirements — is entered accurately into the booking system.
- Confirming self-pay pricing and insurer eligibility/authorisation with patients ahead of their appointment, in line with Affidea policy.
- Handling patient enquiries, requests and concerns courteously and efficiently, escalating appropriately where required.
- Building strong working relationships with patients, consultants, secretaries, GP surgeries and insurers.
- Liaising closely with clinical and departmental teams to ensure the smooth day-to-day running of the bookings process.
- Preparing standard and ad hoc reports as required by the department.
- Maintaining patient confidentiality and complying with data protection requirements at all times.

What we need from you?
- Experience of working in a busy, customer-facing or call-handling environment (required).
- Confident, professional telephone manner (required).
- Excellent attention to detail and accuracy when handling data and information (required).
- Computer literate, with confident use of booking/database systems and Microsoft 365 applications (required).
- Positive, adaptable approach with the flexibility to work across a fast-paced, varied service (required).
- NVQ Level 2 in Business and Administration or equivalent (desirable).
- Previous healthcare, NHS or clinic administration experience (desirable).
