ROLE OVERVIEW
As our Bookings & Event Coordinator, you’ll help us expand into new locations by researching suitable venues, contacting potential partners and supporting the booking process through to operational handover.
You’ll also help publish new events across our website and social platforms, ensuring information is accurate and professionally presented.
This role would suit someone who is highly organised, confident using technology and comfortable working independently in a fast-moving environment.
KEY RESPONSIBILITIES
Venue Research & Lead Generation
- Research suitable venues across our target locations
- Use AI platforms and online tools to identify venues and gather key information
- Build and maintain accurate venue records in internal spreadsheets
- Identify new venue opportunities for the bookings team
Event Uploads & Listings
- Upload new events to the Lumos website
- Create and publish event listings on Facebook
- Check dates, times, venue information and ticket details
- Ensure listings are accurate, consistent and professionally presented
- Update published events when changes are required

Bookings & Operational Handover
- Complete venue booking forms and supporting documentation
- Record booking details, requirements and venue information accurately
- Coordinate a clear and timely handover once a venue is confirmed
- Flag restrictions, outstanding actions and venue-specific requirements
- Ensure the operations team has the information required to deliver each event
General Team Support
- Support the bookings team with administration and ad hoc projects
- Keep internal trackers and systems accurate and up to date
- Communicate progress, challenges and outstanding actions clearly
- Help improve research, outreach and booking processes
IDEAL PROFILE
- Highly organised, detail-oriented and reliable, taking real ownership of your systems and deadlines
- A natural self-starter who builds momentum and doesn't need to be chased
- Confident communicating with venues and external stakeholders
- Process-driven with strong administrative skills and the ability to manage multiple bookings simultaneously
- Experience in venue sourcing, bookings, events or partnerships is strongly preferred
- Excellent negotiation and interpersonal skills
- Comfortable with Google Suite and team collaboration tools
