Job Description

The Role

Pomroy Associates is looking for an experienced Part-Time Bookkeeper to join our growing accountancy practice in Stevenage, Hertfordshire.

This is a great opportunity for someone who enjoys bookkeeping, VAT and working directly with clients, but is looking for a part-time role with some flexibility around their working pattern.

You will be responsible for maintaining accurate bookkeeping records for a portfolio of SME clients, preparing VAT returns and ensuring client records are kept up to date throughout the year.

You will work closely with our Client Managers, Accounts Managers and wider accounts team, helping to ensure that bookkeeping records are complete, accurate and ready for VAT returns, management accounts and year-end accounts preparation.

We are looking for someone who can work independently on routine bookkeeping matters, identify errors or missing information, and communicate confidently with clients where information is required. This role would particularly suit an experienced bookkeeper looking for part-time hours, including potentially school-hours-based working.

Key Responsibilities

  • Maintain accurate bookkeeping records for a portfolio of clients.
  • Process and reconcile bank and credit card transactions.
  • Reconcile bank, supplier, customer and other control accounts.
  • Process purchase invoices, sales invoices and expenses where required.
  • Review bookkeeping records and identify missing, duplicated or incorrectly allocated transactions.
  • Maintain accurate debtor and creditor records.
  • Ensure transactions are correctly categorised and supported by appropriate documentation.
  • Post journals and routine bookkeeping adjustments where appropriate.
  • Prepare VAT returns and supporting working papers.
  • Review VAT treatment applied to transactions and identify potential errors.
  • Ensure bookkeeping is complete and reconciled before VAT returns are submitted for review or filing.
  • Contact clients regarding missing information, documentation and routine bookkeeping queries.
  • Follow up outstanding queries to ensure work is completed within deadlines.
  • Assist clients with straightforward Xero, Dext and bookkeeping software queries.
  • Carry out bookkeeping corrections identified during accounts preparation.
  • Ensure client records are maintained throughout the year in a condition suitable for accounts preparation.
  • Support the wider accounts team with bookkeeping and VAT-related queries.
  • Maintain accurate notes, tasks and job progress within our practice management system.
  • Work to internal and statutory deadlines.
  • Escalate technical, tax or unusual accounting matters to the appropriate manager or Director.

What We Are Looking For

We are looking for someone who is accurate, organised and comfortable taking ownership of routine bookkeeping work.

You should have a good understanding of double-entry bookkeeping and be confident working with cloud accounting software.

Previous experience within an accountancy practice would be particularly valuable, as the role involves working across a number of different clients, industries and bookkeeping systems.

The right person will be able to identify when something does not look right rather than simply processing transactions, while also knowing when a matter should be referred to a more senior member of the team.

Qualifications & Skills

  • Previous bookkeeping experience.
  • Accountancy practice experience is highly desirable.
  • Good understanding of double-entry bookkeeping.
  • Experience preparing VAT returns.
  • Experience completing bank, supplier, customer and control account reconciliations.
  • Good working knowledge of Xero or similar cloud accounting software.
  • Preferable experience with receipt capture systems such as DEXT/Apron.
  • AAT Level 3, AATQB or similar qualification would be desirable.
  • Candidates who are studying towards AAT or are qualified by experience will also be considered.
  • Strong attention to detail.
  • Good organisational and time-management skills.
  • Comfortable managing deadlines across multiple clients.
  • Good communication skills with both clients and colleagues.
  • Comfortable contacting clients directly regarding missing information and routine queries.
  • Able to work independently on routine matters.
  • Able to recognise when an issue should be escalated.
  • Comfortable working as part of a team in an office-based role.

Responsibilities and Authority

The Part-Time Bookkeeper will be responsible for the accuracy and completeness of the bookkeeping work allocated to them.

They will be expected to deal independently with routine bookkeeping and VAT matters but should refer technical, tax or unusual accounting issues to the appropriate Accounts Manager, Client Manager or Director.

The role does not include responsibility for providing tax advice or making significant accounting judgements without appropriate review.
