IMS is a growing marketing technology consultancy. We provide consultancy, project delivery, technology implementation, and managed services to a broad range of clients.
As we continue to grow, we are investing in stronger financial reporting, operational efficiency, automation, and scalable business processes.
Location: Hybrid/remote
Reporting to: CFO/Finance Lead
Working pattern: Two days per week (40% FTE), with some flexibility over working days
Salary: £32,000–£36,000 per annum pro rata (£12,800–£14,400 per annum for two days per week)
The opportunity
We are looking for an experienced and proactive Part-Time Bookkeeper to take responsibility for IMS’s day-to-day finance operations and maintain accurate, up-to-date accounting records.
Working closely with our CFO/Finance Lead and operational leadership team, you will manage transaction processing, invoicing, credit control, supplier payments, and reconciliations. You will also support month-end reporting, payroll, VAT preparation, cash-flow monitoring, and the continued improvement of our financial processes.

Key responsibilities
Day-to-day bookkeeping
- Maintain accurate accounting records in Xero.
- Process supplier invoices and employee expenses.
- Manage expense submissions through Dext, ensuring transactions are supported and coded correctly.
- Prepare and issue sales invoices accurately and on time.
- Monitor accounts receivable and follow up overdue balances.
- Maintain supplier records and reconcile supplier statements.
- Prepare supplier payment runs for approval.
- Complete bank and company credit-card reconciliations.
- Respond to routine finance queries from employees, suppliers, and clients.

Month-end support
- Complete monthly balance-sheet reconciliations.
- Prepare accrual and prepayment schedules.
- Support the preparation of monthly management accounts.
- Reconcile deferred income and work in progress where required.
- Maintain the fixed-asset register.
- Ensure month-end information is complete, accurate, and available within agreed deadlines.
Payroll and compliance
- Prepare VAT return workings for review and submission.
- Support payroll processing and pension submissions.
- Liaise with accountants, tax advisers, pension providers, and other relevant third parties.
- Maintain clear audit trails and supporting documentation.
- Assist with year-end accounts, audit preparation, and information requests.
Reporting and financial controls
- Maintain short-term cash-flow information and forecasts.
- Produce regular aged-debtor and aged-creditor reports.
- Support operational and financial KPI reporting.
- Ensure agreed finance processes and controls are followed consistently.
- Identify errors, risks, and unusual transactions and escalate them appropriately.
Systems and process improvement
- Identify opportunities to improve efficiency through automation and better use of Xero, Dext, and other systems.
- Support integration between finance and operational systems.
- Assist with system migrations and implementation activities where required.
- Help document standard operating procedures and strengthen financial controls.
Skills and experience

Essential
- At least three years’ relevant bookkeeping or finance experience.
- Strong practical experience using Xero.
- Experience using Dext or similar expense-management software.
- Experience preparing VAT return workings.
- Strong purchase-ledger, sales-ledger, and credit-control experience.
- Excellent reconciliation skills.
- Confidence using Excel, including formulas, lookups, and pivot tables.
- A high level of accuracy and attention to detail.
- The ability to prioritise work and meet recurring deadlines.
- The confidence to work independently while knowing when to escalate an issue.
Desirable
- AAT qualified, part-qualified, or currently studying towards an accounting qualification.
- Experience working within a consultancy, agency, technology, or other professional-services business.
- Experience supporting the preparation of management accounts.
- Experience accounting for work in progress and deferred income.
- Experience supporting payroll and pension administration.
- Previous involvement in finance-system or process-improvement projects.
