Bookkeeper / Administrator — Green City Homes
Location: Portsmouth or surrounding area, with regular travel to our development site in Alton, Hampshire (GU34). All our sites are within a maximum one-hour drive of Portsmouth.
Hours: 24 hours/week, with potential to grow as the business scales or more responsibility is taken on.
Site days: Monday and Friday on site — non-negotiable. Wednesday on site is also preferred, but this can be flexible.
Salary: £20,000-£25,000 per annum (DOE) + mileage

Start date: Within the next 2 months
Must have: Full UK driving licence and access to your own car
About Us
Green City Homes is a residential property developer and principal contractor based in the South of England, delivering small-to-medium new-build housing schemes. We work remotely as a team — our directors are split between London and Portsmouth — and manage projects hands-on across the full lifecycle: land acquisition, finance, planning, construction, and sales.
We are currently building an 8-house development at London Road, Holybourne, Alton (GU34 4EG), running over the next year, and expect to take on a second live build during that time — so this role can grow alongside a genuinely active site pipeline, not a single project.
Job Summary
We're looking for a proactive, highly organised Bookkeeper/Administrator to manage our financial records and support the wider business as we grow. You'll be on site in Alton every Monday and Friday (Wednesday too, ideally). This isn't a back-office-only role — you'll be visible on site, working with our site manager and build teams, and will have real scope to shape how we run our finance and admin processes as the business scales. You'll report directly to the company directors.

Responsibilities
- Maintain accurate financial records on Xero, including full bookkeeping for the business and individual development sites
- Process accounts payable and receivable, including subcontractor and supplier invoices
- Apply CIS deductions correctly and manage CIS returns and subcontractor verification
- Handle VAT accounting and returns, including VAT treatment specific to construction/property development (zero-rating, reverse charge, etc.)
- Reconcile bank statements and keep financial data accurate and up to date across the business and site cost codes
- Source and order materials for site, liaising with suppliers and the site team on pricing, delivery, and availability
- Work with the site manager to process staged contract payments accurately and on schedule
- Set up and manage contractor payments
- Calculate and keep accurate records of investor loans, including interest accruals and repayment schedules
- Manage utility bills across sites and the business
- Support month-end reporting and provide accurate cost data for site/project reporting
- Manage general admin: filing, correspondence, scheduling, document organisation
- Process payroll and assist with setting up payroll for new starters
- Work with our external accountants during reviews, audits, and year-end
- Help identify and implement improvements to our financial and administrative processes as we grow

Experience Required
- Proven experience with Xero — essential
- Experience with CIS (Construction Industry Scheme) — preferred
- Experience with VAT accounting and returns — essential
- Previous experience within the construction or property development sector — strongly preferred
- Strong understanding of accounts payable/receivable and general bookkeeping principles
- Excellent organisational skills and ability to manage a varied workload independently
- Comfortable working both on a live construction site and remotely/from home
- Self-starter mentality — someone who spots what needs improving and takes the initiative to fix it
- Experience setting up payroll, in addition to processing it, is a plus
