Job Description
The right candidate will need to be a bright and welcoming character to act as first point of contact for employees, visitors and potential clients.
The suitable candidate will need to be presentable, have great people skills and be friendly and polite.
Key Responsibilities Will Be (but Not Limited To)
- Operating a switchboard in a warm, confident and happy manner.
- To greet all visitors promptly, completing all related security procedures and offering all appropriate services to ensure guests experience a pleasant visit.
- Monitoring and responding to the information inbox and liaising with colleagues as appropriate to ensure replies are sent in a timely manner.
- Assisting with the collation and circulation of brochures, other publications, material for marketing and a range of events.
- Managing any incoming deliveries of mail and supplies and arranging collection by traders and staff.
- Acting as the initial point of contact for traders and contractors who visit the office in person.
- Taking messages, directing calls and providing information as appropriate.
- Escorting guests to appropriate meeting rooms when requested.
- Assisting other departments with ad-hoc including post, photocopying, document collation, typing, laminating, booking of meeting rooms and providing refreshments.
- General Branch Administration tasks as required.
- Raising of purchase order numbers.
- Assistance in facilities management, booking / scheduling building maintenance work, fire alarm testing.
- Arranging courier collections.

Person Specification
Essential Skills
- Minimum three years reception experience in busy customer focused service role.
- Good basic education with GCSEs (or the equivalent) including English and Maths.
- Courteous telephone manner and be able to reply promptly to email enquiries.
- Multi-tasker who can work well under pressure and uses initiative.
- Good Microsoft office skills.

- RSA Stage 2 Word Processing or NVQ 2 in Business Administration (or equivalent).
- RSA Stage 3 Word Processing or NVQ 3 in Business Administration (or equivalent).
Vacancy Details
Hours Of Work
- Monday to Thursday – 09:00am to 17:30pm with 1-hour lunch break.
- Friday – 09:00am to 17:00pm with 1-hour lunch break.
Holidays
25 days holiday plus Bank Holidays.
