THE ROLE

The Brand Experience Co-ordinator supports the delivery of REFY’s physical brand experience across retail, visual merchandising, brand spaces, events and activations.

Working closely with the Brand Experience Manager and Retail Design Manager, you will turn creative direction and retail plans into organised, well-executed projects by coordinating timelines, trackers, suppliers, budgets, logistics and project administration.

You will help ensure projects move smoothly from initial brief and approval through to final execution, while gaining exposure to both the creative and operational sides of building REFY’s physical brand experience globally.

KEY RESPONSIBILITIES

  • Maintain clear project plans, timelines, trackers and delivery schedules, ensuring actions, owners, deadlines, dependencies and approvals are accurate and up to date.
  • Proactively follow up with internal teams, suppliers, agencies and retail partners, identifying delivery risks, delays or gaps and escalating these to the appropriate project lead.
  • Support projects from initial brief through to execution, close-out and reporting, ensuring outstanding actions are followed through to completion.
  • Support the end-to-end delivery of retail events and brand activations, including activation timelines, delivery schedules, travel and operational arrangements.
  • Coordinate product, tester, sample and material logistics and collate relevant market, venue, supplier and competitor research.
  • Prepare project recaps, schedules, progress updates and post-activation documentation to keep project information clear and accessible.
  • Work with Retail, Commercial and regional teams to develop practical guidelines, tools and templates for always-on retail events, supporting consistent local execution and Brand Experience sign-off.
  • Maintain project and activation budget trackers, process required project documentation, monitor committed and actual expenditure and flag potential overspend to the relevant budget owner.
  • Coordinate across Brand Experience, Retail Design, Creative, Marketing, Operations, Logistics and regional teams to help ensure physical brand experience projects are delivered accurately and on time.
  • Travel where required to support installations, events and activations across priority markets.

  • Strong organisational and project co-ordination skills, with the ability to manage multiple deadlines and workstreams simultaneously.
  • A proactive approach with the confidence to follow up, take ownership and keep projects moving in a fast-paced environment.
  • Excellent attention to detail, with strong meeting, action-tracking, documentation and written and verbal communication skills.
  • Confidence working collaboratively with multiple internal and external stakeholders, including suppliers, agencies and retail partners.
  • Commercial awareness and confidence maintaining budget trackers and accurate project administration.
  • An interest in retail, beauty, customer experience, events or brand environments; experience in retail, beauty, visual merchandising, events, experiential marketing, project co-ordination or a related environment would be beneficial.
  • A collaborative, solutions-focused approach and willingness to travel where required for installations, events and activations.
