An Exciting Opportunity: Administrator/Secretary for the Breast Unit

About the Role

An exciting opportunity has arisen to join the Breast Unit as an Administrator/Secretary.

Key Responsibilities

  • Communication and Organization: Excellent communication and organization skills.
  • Typing and Medical Knowledge: Strong typing skills and knowledge of medical terminology to ensure provision of a high quality and efficient administrative/secretarial service to the Breast Surgery consultants.
  • Management of Referral to Treatment (RTT): Assisting in the management of referral to treatment and cancer pathways.
  • Teamwork: Working with the management and clinical teams to ensure delays are resolved and pathways are managed appropriately.
  • Attention to Detail: Good attention to detail together with the ability to prioritize your own workload to meet deadlines.
  • Duties:
    • Dealing with telephone enquiries, letters, email, diaries, chasing deadlines.
    • Collation of information/results for reports and typing of clinic letters.
  • Experience: Previous secretarial experience as well as being flexible and able to work as part of a team.
  • Induction and Development: Comprehensive induction with a view to developing knowledge and skills where appropriate.
  • Medical Transcription and Support: Providing medical transcription and administrative support on attachment to clinical teams; guided by standard operating procedures.
  • Proofreading: Proofreading letters to patients, GPs, medical staff and any other required addressee following clinic attendance, ward discharge and other patient contacts.
  • Administrative Instructions: Carry out administrative instructions that are dictated in the letters transcribed e.g. chasing results.
  • Routine Office Duties: Undertake routine office duties including electronic case note tracking, photocopying, scanning and uploading correspondence and results and maintenance of records when required.
  • Cover: Provide cover in times of sickness, annual leave and staff shortages.
  • Communication: Deal with telephone communications and patient queries.
  • Liaison: Liaise with relevant departments where necessary.
