Role Profile
The Role
The Knowledge Assistant provides administrative, coordination, and operational support to the Business Transactions Group Knowledge Lawyers. The role plays an important part in supporting the delivery of the team’s knowledge management services by coordinating projects, maintaining knowledge resources, and helping to share legal know-how across the firm.
Working closely with Knowledge Lawyers and stakeholders across the business, the Knowledge Assistant will support the creation, organisation, and delivery of knowledge content, training activities, and knowledge initiatives that enable colleagues to access accurate, relevant, and up-to-date information.
This is a permanent role that can be based in our Bristol or Reading. The role is full-time, although we are open to considering flexible working patterns.
Key Responsibilities
As a Knowledge Assistant, you will:
- Coordinate the preparation, formatting, and publication of internal and client-facing knowledge materials, including newsletters, blogs, reports, and legal updates. This will include gathering information, proofreading content, managing publication schedules, and supporting distribution through appropriate channels.
- Provide coordination and administrative support for knowledge projects, including maintaining project plans, tracking actions, organising documentation, monitoring progress, and supporting the delivery of project outcomes.
- Support the planning and delivery of internal training and knowledge-sharing sessions by coordinating logistics, arranging meetings, preparing agendas, liaising with speakers, managing materials, and supporting follow-up activities.
- Maintain and coordinate updates to template documents and knowledge resources by working with Knowledge Lawyers, PAs, and other stakeholders to ensure content is accurate, consistent, and aligned with firm standards.
- Support the organisation and maintenance of knowledge resources, databases, trackers, and AI-enabled knowledge tools, ensuring information is accurate, accessible, and easy for colleagues to locate.
- Respond to queries relating to knowledge resources and systems, escalating where appropriate, and supporting colleagues in accessing relevant information.
- Identify opportunities to improve processes and ways of working, contributing to the ongoing development of knowledge management practices within the team.

What We’re Looking For
We are looking for someone who has:
- A background providing administrative, coordination, or operational support within a professional, corporate, or similar environment, with the ability to support projects, processes, or team initiatives.
- The ability to manage multiple priorities and deadlines effectively, organising tasks, tracking progress, and adapting to changing requirements.
- Strong stakeholder management skills, with the ability to build effective working relationships and collaborate with colleagues across different teams.
- Excellent written communication skills and strong attention to detail, with the ability to produce, proofread, and format accurate written materials.
- Experience coordinating meetings, training sessions, events, or knowledge-sharing activities, including managing logistics, preparing materials, and supporting follow-up actions.
- Experience maintaining documents, databases, trackers, or information resources accurately, ensuring information is consistent, accessible, and easy to locate.
- Confidence using digital tools, document management systems, or knowledge platforms, with an interest in developing skills in AI-enabled technologies and other productivity tools.
- A proactive approach to identifying opportunities to improve processes, ways of working, and team practices, with the ability to support the implementation of improvements.
- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Experience handling confidential or sensitive information appropriately, using discretion and sound judgement.
- The ability to work independently, use initiative, and recognise when guidance or escalation is required.

The Team
This role reports to a Knowledge Lawyer Director within the Business Transactions Group and provides support across the Knowledge Lawyer team.
The Business Transactions Group Knowledge team forms part of the firm’s wider Knowledge function and works closely with lawyers and business teams across the firm to support the creation, management, and sharing of legal expertise.
