Job Description
Portico are looking for a Building Manager to lead the day-to-day operations of a prestigious commercial property, delivering an exceptional experience for tenants, visitors and stakeholders. This is an exciting opportunity for a customer-focused and proactive professional who thrives in a fast-paced environment and takes pride in creating a safe, welcoming and well-managed workplace.
Key Responsibilities
- Deliver an outstanding front of house experience, ensuring all visitors, guests and occupiers receive a warm, professional welcome.
- Oversee the daily operation of reception, the business lounge and rooftop facilities, ensuring all areas are safe, operational and maintained to the highest standard.
- Proactively manage service delivery, resolving issues efficiently and ensuring all concerns are recorded, escalated and followed through to resolution.
- Coordinate the receipt, sorting and distribution of incoming and outgoing mail and deliveries in a timely and professional manner.
- Manage visitor access procedures, including the visitor management system and door entry controls, ensuring all visitors are registered appropriately.
- Administer access fobs and security credentials, maintaining accurate records and ensuring data is regularly reviewed and updated.
- Act as a Fire Warden, supporting emergency evacuation procedures and liaising with tenant Fire Marshals and emergency services to ensure the safety and accountability of all building occupants.
- Conduct regular inspections of fire safety equipment, signage and fire doors, reporting any faults or compliance concerns promptly.
- Act as a First Aider for the building, ensuring first aid provisions remain fully stocked and readily available.
- Manage car parking arrangements, ensuring usage is in line with tenant agreements and visitor parking requirements.
- Take ownership of operational challenges, demonstrating sound judgement and making informed decisions to achieve successful outcomes.
- Produce monthly and ad hoc reports relating to service performance, operational activity and service issues.
- Support tenant engagement initiatives and events, ensuring resources are managed effectively and budgets are adhered to.
- Ensure compliance with all relevant Health & Safety legislation, policies and procedures.
- Maintain a strong security awareness, monitoring CCTV systems and reporting concerns where appropriate.
- Plan and prioritise workloads effectively to meet operational demands and business objectives.
- Build and maintain strong relationships with tenants, clients, contractors and internal stakeholders.
- Lead by example, demonstrating professionalism, integrity, flexibility and a commitment to always delivering exceptional service.
- Act as a positive ambassador for Portico, promoting its values and commitment to service excellence.

What We're Looking For
We're seeking a confident and customer-focused leader with experience managing teams and delivering exceptional service within a professional environment.
You will have:
- A minimum of 12 months' experience in a supervisory, team leader or management role within a customer service-focused environment.
- Proven experience leading, motivating and developing individuals or teams to achieve high standards and business objectives.
- Excellent communication skills, with the ability to engage confidently and professionally with a wide range of stakeholders, both in person and over the telephone.
- Exceptional customer service skills, with a genuine passion for creating positive experiences and building strong relationships.
- A proactive and solutions-focused approach, with the ability to identify opportunities for improvement and take ownership of issues through to resolution.
- Strong organisational and problem-solving abilities, with the confidence to make decisions in a fast-paced environment.
- Experience driving change, innovation and continuous improvement initiatives.
- Excellent attention to detail and a commitment to maintaining the highest standards across all aspects of the workplace.
- The ability to communicate effectively at all levels, influencing and building rapport with tenants, clients, colleagues and contractors.
- A professional and polished appearance, acting as a positive ambassador for both Portico and our client.
- Flexibility to travel to regional locations when required and participate in training, coaching and development activities.
- Experience within workplace experience, facilities management, property management, hospitality or corporate front of house environments would be highly advantageous.
