Purpose of the Role
We are seeking a proactive and reliable Building Supervisor to support the day-to-day operation of a major retail property at Manchester Exchange Square, occupied by two leading national retailers. This is a hands-on, site-based role focused on maintaining a safe, compliant, well-presented environment across all shared areas of the building. You will act as a key point of contact on site, ensuring smooth coordination between occupiers, contractors and the managing agent.
Key Responsibilities
Fire Safety Management
- Daily and Routine Fire Safety Checks within the common areas of the building.
- Act as the on‑site fire safety lead for operational matters when on shift.
- Conduct daily checks of the fire alarm panel and ensure it is in normal operating condition.
- Investigate and record all fire panel activations, faults, and warnings.
- Inspect fire exits, escape routes, emergency lighting, extinguishers, and communal fire doors.
- Ensure both Selfridges and M&S are promptly informed of issues impacting their demise or shared areas.
- Maintain accurate logs of all fire‑related incidents, and contractor visits.
Fire Procedures & Preparedness
- Support and coordinate regular evacuation drills with both businesses.
- Ensure all fire safety signage in communal areas is present and compliant.
- Monitor fire loading risks and ensure escape routes remain unobstructed.
Contractor and Permit Oversight
- Monitor, Manage hot works and ensure proper permits, controls, and fire watches are in place by the contractors.
- Ensure contractors do not compromise fire integrity (e.g., propping fire doors, disturbing detectors in common areas).
Fire System Integrity in common areas
- Report and escalate any breaches of compartmentation (e.g., missing fire stopping, damaged fire doors).
- Check that fire doors fully close and latch.
Building Operations & Issue Management
- Open/close building to align with both stores operating
- Daily Building Checks
- Undertake full building perimeter inspections 3 times a day, reporting issues with security, fabric, lighting, and cleaning and advise any issues to relevant parties
- Open and close atrium doors and shutters in line with trading hours.
- Ensure central atrium is clean and clear at all times. 3 x Daily check and manage issues
- Check building management systems (BMS) to verify plant is operational (AHUs, heating, water systems). And carry out a monthly analysis and summary
- Weekly walk around with both occupiers – complete and document findings and actions for submission to occupiers same day where required.

Issue Logging & Escalation
- Log all faults, incidents, and maintenance issues into the City FM Mercury portal or relevant party
- Assess Issues based on risk/urgency and communicate clearly to both occupiers.
- Escalate high‑risk or unresolved issues to Savills management or contractors.
- Track all open issues until resolution and keep both tenants informed.
Contractor Coordination within Common Areas
- Coordinate and supervise contractors attending site
- Obtain service reports after each visit and review for remedial actions.
- Share reports with tenants and provide weekly progress updates.
- Ensure contractors follow site rules, do not compromise safety systems, and work within property protocols.
Cleaning, Waste, and Common Area Standards
- Complete daily and weekly cleaning checks for all common areas, loading bays, and BOH stairwells. Manage sign off documentation.
- Document standards and share reports with tenants.
- Raise cleaning issues with the contractor and track to close.
- Attend monthly audit checks with incumbent cleaning contractor.
- Document and arrange Pest Control in common areas and ensure all parties are informed of any issues.
Stakeholder Communication & Coordination
- Act as the central point of contact for both M&S and Selfridges operational teams.
- Provide immediate verbal and written updates following fire alarms, faults, or major building issues.
- Provide weekly updates on works in progress, upcoming works, and potential trading impacts.
- Conduct weekly store walks with tenant representatives and issue written findings the same day.
- Maintain strong, professional, and approachable relationships with all on‑site teams.

Compliance & Documentation Support
- Maintain an accurate fire logbook and make accessible to tenants.
- Review compliance certificates, test reports, and contractor documentation; flag required remedial actions and update.
- Maintain accurate records, reports and compliance documentation and support the close‑out of actions of risk assessments.
Reporting & Administration
- Assist in recording and producing reports including:
- Utility consumption
- Fire & life safety status
- Car park data
- Contract Cleaning performance
- Common area project updates
- Maintain Compass/CAFM entries in line with Savills Standards
Emergency Response
- Act as the on‑site operational contact for ALL emergency services during fire-related incidents.
- Assist with post-incident reviews by providing factual accounts and supporting evidence and communicate to tenants
Skills, Knowledge and Experience
- Experience in facilities management, building operations, or a similar role
- Good understanding of health & safety and building compliance requirements
- Strong organisation and communication skills
- Confident coordinating contractors and managing on-site activity
- Able to work independently and as part of a team
- Comfortable using basic IT systems (e.g. email, reports, CAFM/BMS systems)
Working Hours
Operating a 2-shift, 4-on, 4-off rota:
- Shift 1: 07:00 – 15:30
- Shift 2: 13:00 – 21:30
Salary
£35,000 per annum
