Summary

As a Business Administrator Apprentice, you will play an important role in supporting the sales and wider business team with the day-to-day administration of the organisation. This is a varied role that will provide you with the opportunity to develop practical experience and a broad range of business administration skills.

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

  • Providing general administrative support to the team
  • Answering telephone calls and responding to emails
  • Communicating with customers, colleagues and external contacts
  • Maintaining accurate records and updating databases
  • Preparing documents, reports and correspondence
  • Using Microsoft Office and other computer systems
  • Organising meetings, appointments and events
  • Managing files and maintaining accurate filing systems
  • Supporting the team with day-to-day business activities
  • Assisting with data entry and information management
  • Dealing with customer enquiries in a professional manner
  • Supporting projects and identifying opportunities to improve processes
  • Carrying out other administrative duties as required

As a Business Administrator Apprentice, you will play an important role in supporting the sales and wider business team with the day-to-day administration of the organisation. This is a varied role that will provide you with the opportunity to develop practical experience and a broad range of business administration skills while working towards your Level 3 Business Administrator apprenticeship. You will work closely with experienced members of the team and become involved in a variety of administrative and sales support activities.

Your responsibilities will include processing customer and supplier orders, preparing and processing invoices, maintaining accurate records and ensuring that all relevant documentation is completed and stored correctly. A key part of the role will be acting as an initial point of contact for customers and suppliers. You will respond to telephone calls and emails, deal with general enquiries and assist with queries in a professional and helpful manner. Where necessary, you will work with other members of the team to ensure that customer and supplier queries are resolved promptly.

You will also provide administrative support to the sales team, helping to ensure that orders are processed accurately and efficiently from initial enquiry through to completion. This may include updating systems, checking information, preparing documents and communicating with customers and suppliers regarding orders and delivery information.

The role will also involve wider business support, including document management, maintaining databases and spreadsheets, producing and updating data reports, and ensuring that information is accurate and up to date. You will be expected to maintain organised filing systems, both electronically and, where required, manually, while ensuring that confidential business information is handled appropriately.

  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages.
  • Able to choose the most appropriate IT solution to suit the business problem.
  • Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals.
  • Makes recommendations for improvements and present solutions to management.

Training schedule
This is a Level 3 Business Administrator apprenticeship. The apprentice will be required to attend the training centre, In-Comm Training Services, in Telford, TF3 3AJ, 2 days per week for 5 weeks as part of the off the job training delivery.

Essential qualifications

  • GCSE in: English, Maths (grade 4 or above)
