Business Administration Apprentice

We are looking for an enthusiastic and organised Business Administration Apprentice to join our team at ACT Group.

This is an excellent opportunity for someone looking to begin their career in business administration within a busy engineering and manufacturing environment. You will work alongside different areas of the business, providing day-to-day administrative support while also gaining valuable experience assisting the Accounts Department.

As you develop within the role, you will gain an understanding of how the different functions of the business work together and will be encouraged to take on additional responsibilities.

Key Responsibilities

Your duties will include:

  • Providing general administrative support across the business.
  • Answering incoming telephone calls and responding to emails in a professional manner.
  • Handling customer and supplier enquiries and directing them to the appropriate member of staff.
  • Processing and updating information accurately on internal systems and databases.
  • Creating, updating and maintaining electronic records and documentation.
  • Assisting with customer orders, purchase orders and associated paperwork.
  • Supporting the preparation of quotations, order confirmations and other business documents.
  • Liaising with customers, suppliers and colleagues to obtain information and resolve routine queries.
  • Supporting the Accounts Department with general finance administration.
  • Assisting with the processing and checking of purchase and sales invoices.
  • Matching invoices against purchase orders and delivery documentation.
  • Helping to maintain accurate supplier and customer account records.
  • Assisting with filing, scanning and organising financial documentation.
  • Supporting the team with basic credit control administration and following up outstanding information where required.
  • Using Microsoft Office packages including Outlook, Word and Excel.
  • Supporting the organisation of meetings and maintaining diaries or schedules where required.
  • Working closely with colleagues across Sales, Customer Service, Accounts and other departments.
  • Ensuring information is handled accurately and confidentially.
  • Undertaking any additional administrative duties appropriate to the role.
