North East Fencing Office Administrator Apprenticeship

North East Fencing is looking for an enthusiastic and organised Apprentice Office Administrator to join our team in Blyth. This is a varied office-based role that would suit someone who enjoys working with people, is confident speaking on the telephone and wants to develop a career in administration, customer service and business support.

As an Apprentice Office Administrator, you will become an important part of the day-to-day running of the business. You will be dealing with customers, suppliers and colleagues, helping to make sure work is organised correctly and that jobs progress smoothly from initial enquiry through to completion.

This is not a role where you will simply be sitting at a desk completing basic administration. You will be involved in a wide range of activities and will quickly develop an understanding of how a busy fencing business operates.

Key Responsibilities

Your responsibilities will include:

Customer Service and Telephone Enquiries

  • Answering incoming telephone calls professionally and confidently
  • Speaking with existing and potential customers
  • Taking customer enquiries and gathering the information needed to progress their requirements
  • Dealing with customer questions and passing more complex enquiries to the appropriate member of the team
  • Taking messages accurately and ensuring they are passed on promptly
  • Making outgoing calls to customers, suppliers and other contacts when required
  • Maintaining a professional and friendly approach at all times

Administration and Job Management

  • Creating and issuing works orders
  • Updating customer and job records
  • Ensuring paperwork and information is accurate and up to date
  • Supporting the team with the administration of new and existing jobs
  • Monitoring outstanding work and following up where necessary
  • Helping to ensure jobs are scheduled and progressed efficiently
  • Filing and maintaining electronic and paper records
  • Assisting with general office administration

Materials and Suppliers

  • Checking what materials are required for upcoming jobs
  • Chasing outstanding materials and deliveries with suppliers
  • Liaising with suppliers to obtain updates on orders
  • Helping to ensure the required materials are available when they are needed
  • Updating colleagues when there are delays or issues with materials
  • Recording relevant information accurately

Supporting the Wider Team

  • You will work closely with the office, management and operational teams to help ensure customers receive a good service and that work is completed efficiently.
  • This may include:
    • Updating colleagues on customer requirements
    • Helping coordinate jobs and appointments
    • Following up outstanding actions
    • Preparing information for the team
    • Dealing with general office queries
    • Supporting other administrative tasks as required

Apprenticeships include time away from working for specialist training. You’ll study to gain professional knowledge and skills.

What You'll Learn

Course Contents

Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.

Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.

Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.

Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.

Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.

Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themselves to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.

Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.

Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

Essential Qualifications

  • GCSE in:
    • English Language or English literature (grade 4 or above)
    • Maths (grade 4 or above)
