The Main Responsibilities of the Post Holder are to:

- Provide administrative support to colleagues across multiple departments.
- Welcome visitors to The Balsam Centre and provide a professional reception service.
- Answer telephone, email, and face-to-face enquiries, directing requests appropriately.
- Support the Finance Manager with basic bookkeeping administration, data entry, processing records, and maintaining accurate financial information.
- Assist with room bookings, diary management, and meeting arrangements.
- Maintain electronic and paper filing systems, ensuring records are accurate, secure, and compliant with data protection requirements.
- Support recruitment, onboarding, and general HR administration activities.
- Assist with volunteer administration, record keeping, and communications.
- Support facilities management activities, including obtaining supplier quotations, coordinating maintenance requests, and maintaining records.
- Assist with communications and marketing administration, including updating information and maintaining communication records.
- Support quality assurance processes, data collection, reporting, and monitoring activities.
- Use Microsoft Office and other business systems to produce correspondence, reports, spreadsheets, and records.
- Work collaboratively with staff, volunteers, partners, and service users, demonstrating excellent customer service.
- Identify opportunities to improve administrative processes and contribute to continuous improvement activities.
- Undertake training and development activities required as part of the apprenticeship programme.
- Carry out any other duties appropriate to the role and level of responsibility.
