Summary
Join our busy IEP team as a Business Administration Apprentice and become a key part of our day-to-day operations. You’ll be a friendly first point of contact for visitors, drivers, customers and colleagues, while developing your admin, communication and organisational skills.
Wage: £16,432 for your first year, then could increase depending on your age
Training: Business administrator (level 3)
Hours: Monday – Friday 8:30am – 5pm with half an hour lunch. 39 hours 30 minutes a week

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.
What you'll do at work
As a Business Administration Apprentice, you’ll become an important part of the IEP office team, learning how a busy export packing business operates while developing your administration, communication and organisational skills. You’ll start by building a strong foundation in general office administration before gradually taking on more responsibility and developing into a key member of the team. Your duties will include:
- Welcoming visitors and drivers to site and acting as a friendly and professional first point of contact
- Answering incoming telephone calls, taking messages and directing enquiries to the appropriate member of the team
- Managing the site barrier and helping visitors, drivers and colleagues arriving at IEP
- Carrying out general administration tasks such as filing, scanning, organising paperwork and keeping records up to date
- Sorting and organising photographs and digital files and helping to label and identify customers’ goods ready for packing and dispatch
- Responding to general enquiries by phone and email and ensuring enquiries are passed to the right person
- Dealing confidently and professionally with customers, suppliers, colleagues and other stakeholders at all levels
- Supporting the team with customer and job enquiries, gathering information and helping to ensure enquiries are followed up
- Providing general administrative support to the office and wider IEP team as your knowledge and confidence develop
- Learning how the different areas of the business work together, including the office, workshop, drivers and customers
As your skills and experience grow, taking on more responsibility and developing towards the wider business administration duties carried out by the existing office team. Working towards your Level 3 Business Administration qualification while gaining practical, hands-on experience in a busy working environment.

Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required. Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks. Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate. Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge. Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department. Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues. Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation. Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

Training schedule
Training along side you work to complete your Nationally recognised qualification, monthly workshops via Microsoft teams during your working hours. Regular meetings with your delivery tutor.

Other requirements
This is primarily an office-based role, but the apprentice will also spend some time outside the office as part of their day-to-day duties. This will include visiting the barrier to greet visitors and drivers, establish the reason for their visit and determine the appropriate access to site, as well as liaising with the wider production team.
The role will also involve occasional time in the production and yard areas to label and identify customers’ goods, sort and organise items and communicate with colleagues. Applicants should therefore be comfortable working in a busy industrial environment and moving between the office, production areas and site when required. Good communication, confidence and awareness of their surroundings are important, particularly when dealing with visitors, drivers and members of the wider team.

As their knowledge, confidence and experience grow, they will gradually take on more responsibility and become involved in a wider range of business administration activities. This could include handling customer and job enquiries, supporting the day-to-day running of the office, liaising with customers and suppliers, and taking greater responsibility for administrative processes.
For the right person, there is scope to continue developing within the business and progress towards roles such as Business Administrator, Office Administrator or a more senior administrative or customer-facing position. Their career progression will depend on their skills, interests, performance and the opportunities available within the business.
