About the Role

The apprentice will play a key role in ensuring the business meet its key goals and targets. Providing a general administrative support to Operations, Sales and Business Support Teams.

Duties Include

  • Respond to emails
  • Check terms on sales orders
  • Resubmit quotes
  • Post customer invoices to accounts
  • Request PO’s for invoices that need them
  • Send posted invoices & copies of job sheets to customers
  • Check supplier invoices against closed PO’s
  • Process order confirmations
  • Generate PI’s from supplier invoices that have been checked against PO’s or job sheets
  • Check incoming deliveries for next day
  • Chase invoices
  • Monthly stock order
  • Input credit card statements
  • Quote contracts
  • Send invoice reminders
  • Send H&S update to all staff
  • Action price increases
  • Process ebay orders
  • Pick & pack orders and book with courier
  • Book pallet shipments
  • Process sales order for drawings returned to office from factory
  • Generate data plate & pat test labels for fabrication
  • Process returns
  • Vehicle/fleet maintenance
  • Book training courses
  • Assist with accreditations
  • Maintain health & safety documents

Apprenticeships include time away from working for specialist training. You’ll study to gain professional knowledge and skills.

Course Contents

Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.

Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
