Under the direction/instruction of senior staff, you will provide general admin & reception support for Westlands Academy/Archiving Project for the Trust.
Potholders working to this job description may undertake any of the following main duties and responsibilities:
- To deal with enquiries by telephone and face to face, and ensure that they are dealt with effectively and efficiently, e.g. answering routine queries and taking messages where appropriate.
- Overseeing the correct operation of the telephone network.
- To ensure that visitors to the school are received courteously and punctually whilst observing the appropriate security procedures.
- Dealing with enquiries from staff and pupils as appropriate.
- To assist with Trust-wide Archiving project.
- Routine photocopying and document collation.
- Undertaking a variety of clerical duties, including filing.
- Provide cover / assistance to other members of staff as required.
- To safeguard and promote the welfare of children for whom you come into contact with, to include adhering to all specified procedures.
- To carry out your duties with full regard to the Trust’s Equality Policy.
- To comply with Health and Safety policies, organisation's statements and procedures, report any incidents/accidents/hazards and take a pro-active approach to health and safety matters in order to protect both yourself and others.
- Any other duties of a similar nature related to the post which may be required from time to time.

Course contents
Skilled in the use of multiple IT packages and systems relevant to the organisation in order to:
- write letters or emails
- create proposals
- perform financial processes
- record and analyse data
Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
Produces accurate records and documents including:
- emails
- letters
- files
- payments
- reports and proposals
Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.

Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. An apprenticeship includes regular training with a college or other training organisation. At least 20% of your working hours will be spent training or studying.
Level 3 Business Administration at Redcar & Cleveland College
Functional Skills in Maths and English, if required
GCSE Any subjects x5 including maths and english (grade (Grade A-C/9-4))*
Share if you have other relevant qualifications and industry experience. The apprenticeship can be adjusted to reflect what you already know.
The successful applicant will be subject to relevant vetting checks, including a satisfactory DBS check before an offer of appointment is confirmed. Following the appointment, the employee will be subject to re-checking as required from time to time by the trust. There also may be some flexibility around hours per week for the right candidate.
