ASB Security Services Business Administrator Apprentice
ASB Security Services is seeking an organised, motivated and professional Business Administrator Apprentice to support the smooth day-to-day running of our training centre. This is a varied role combining business administration, learner support, customer service and business development.
Wage
- £14,976 for your first year, then could increase depending on your age
- National Minimum Wage rate for apprentices

- Monday to Friday, 9.00am to 5.00pm, shifts, may work evenings and weekends.

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.
What You'll Do at Work
The successful apprentice will work closely with management, trainers, learners, employers and partner organisations while developing practical skills in a real business environment. You will gain experience in office administration, customer communication, maintaining business records, supporting training operations and assisting with activities designed to develop and grow the business.
Business Administration
- Manage emails, telephone enquiries, bookings and general office correspondence.
- Maintain accurate learner, course, attendance and certification records.
- Support learner registrations, ID checks and course documentation.
- Prepare documents, spreadsheets, reports, invoices, letters and course materials.
- Update internal databases, digital records and business systems.
- Support the organisation of meetings, appointments and business activities.
- Help coordinate course schedules, classroom arrangements and daily training-centre activities.
- Monitor incoming enquiries and ensure they are responded to promptly and professionally.
- Assist with filing, scanning, photocopying and maintaining organised office records.
- Handle personal and confidential information securely and follow company policies and data-protection requirements.
- Support management with general administrative tasks and other reasonable duties.
Customer Service and Learner Support
- Act as a professional first point of contact for learners, customers and visitors.
- Respond to enquiries by telephone, email and in person.
- Provide accurate information about courses, training dates, bookings and services.
- Support learners throughout their training journey and help resolve routine queries.
- Maintain positive and professional relationships with learners, employers, trainers and partner organisations.
- Record customer enquiries and follow up where required.
Business Development Duties
- Responding to new business and training enquiries.
- Identifying potential customers, employers and business opportunities.
- Maintaining and updating customer and prospect databases.
- Supporting the preparation of quotations, proposals, presentations and business information.
- Carrying out basic market and competitor research.
- Assisting with follow-up calls and emails to prospective customers.
- Supporting customer and employer outreach activities.
- Helping to maintain relationships with existing customers and business partners.
- Assisting with promotional activities, including email campaigns, social media content and other marketing activities where appropriate.
- Recording and tracking enquiries, leads and business opportunities.
- Supporting management with business development reports and updates.
- Identifying opportunities to promote the company's training courses and services.
- Attending or helping to organise meetings, networking events and business engagement activities.
- Gathering customer feedback and passing relevant information to management to help improve services.
- Supporting the development of new customer and employer relationships.

What You'll Learn
Course Contents
- Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
- Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
- Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
- Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
- Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
- Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
- Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation). Manages resources e.g. equipment or facilities. Organises meetings and events, takes minutes during meetings and creates action logs as appropriate. Takes responsibility for logistics e.g. travel and accommodation.
- Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.

Training Schedule
- The apprentice will attend Waltham Forest College, located at 707 Forest Road, Walthamstow, London, E17 4JB, as part of their apprenticeship training.
- 1 day per week at college
- On-site college-based training
- The remaining days will be spent working with FDE, gaining practical experience and developing business administration skills in the workplace.
Training will support the apprentice in building the knowledge, skills, and behaviours required to successfully complete their apprenticeship.

As part of the apprenticeship, you will work towards the Level 3 Business Administrator Apprenticeship Standard, combining college-based learning with practical workplace experience at ASB Security Services.
Your training will help you develop skills in:
- Using digital and IT systems to manage information and maintain records.

- Organisation, time management and prioritising tasks.
- Supporting meetings, projects and business activities.
- Collecting and managing information accurately.
- Problem-solving and improving business processes.
- Working professionally and effectively as part of a team.
You will attend Waltham Forest College one day per week, with the remaining days spent at ASB Security Services gaining hands-on experience and applying your learning in a real workplace.
This apprenticeship will provide you with a recognised qualification, valuable practical experience and transferable skills to support your future career in business administration, business development, customer service, sales, operations or office management.
Essential Qualifications
- GCSE in:
- English (grade Level 4 - 9 or A-C)
- Mathematics (grade Level 4 - 9 or A-C)
