Summary
Reception and administrative support, including greeting patients, booking appointments, handling enquiries, processing information and liaising with clinical teams and external services. The role is fast paced and variable.

Work
Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.
What you'll do at work
The following are the core responsibilities of the receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
- Maintaining and monitoring the practice appointment system
- Process personal, telephone and e-requests for appointments, ensuring that patients are directed appropriately
- Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
- Signpost patients to the correct service providers
- Initiating contact with and responding to, requests from patients, team members and external agencies
- Read code data on Systmone as per the practice workflow
- Photocopy documentation as required
- Provide administrative support for the GPs’ and Nurses
In addition to the primary responsibilities, the medical receptionist may be requested to:
- Support administrative staff, providing cover during staff absences
- Issue repeat prescriptions in line with protocol
- Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records
- Complete opening and closing procedures in accordance with the duty rota
- As required support in the management of repeat prescriptions, ensuring they are processed accurately and efficiently
- Provide administrative support within clinics (Influenza or Child Immunisations)
- Ensure that start of the day procedures (opening up) and end of the day procedures (closing and securing the practice) are completed appropriately.

What you'll learn
Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages.
Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management.
Drafts correspondence, writes reports and able to review others' work.
Maintains records and files, handles confidential information in compliance with the organisation's procedures.
Coaches others in the processes required to complete these tasks.
Exercises proactivity and good judgement.
Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way.
Seeks advice of more experienced team members when appropriate.
Builds and maintains positive relationships within their own team and across the organisation.
