Start your career in a busy NHS GP practice as a Medical Receptionist/Administration Apprentice
You'll develop hands-on experience in patient care, administration, and customer service while studying towards a Level 3 Business Administrator qualification, giving you a strong foundation for future career progression.
Wage: £12,480 a year
Training course: Business administrator (level 3)
Hours: Monday - Friday. Days and times to be confirmed during interview process. 24 hours a week
Start date: Monday 2 November 2026

What you'll do at work
Great Homer Street Medical Centre is a busy and friendly NHS GP practice serving the local Liverpool community. As part of the Anfield and Everton Primary Care Network (PCN), the practice is dedicated to providing high-quality patient care and supporting the health and wellbeing of its diverse patient population. Joining the team offers an excellent opportunity to gain valuable experience within the NHS whilst working alongside experienced healthcare professionals in a supportive environment.
The Role
An exciting opportunity has arisen for a motivated and friendly individual to join Great Homer Street Medical Centre as a Medical Receptionist/Administrator Apprentice. This role offers the chance to gain valuable experience within a busy NHS GP practice while working towards a nationally recognised Level 3 Business Administrator qualification.
You will be the first point of contact for patients and visitors, providing excellent customer service and administrative support to help ensure the smooth running of the practice.
Key Responsibilities
- Ensure that all new patients are registered onto the computer system promptly and accurately and make up files where required
- Explain practice arrangements and formal requirements to new and temporary patients and ensure procedures are followed
- Open, stamp and sort post and ensure it is distributed correctly
- Prepare outgoing post
- Enter patient information on to the computer system and retrieve data as required
- Retrieve, file and photocopy patient notes as per the practice procedures
- Action Electronic tasks and emails received from GP’s, other practice staff sand third party organisations
- Prepare patient letters and invitations and set diary dates for medical reviews
- Action patient tasks and requests received via the patient email account
- Book transport and ambulances when required
- Greeting patients and other visitors to the practice
- Deal with all general enquiries, explain procedures and book new and follow-up appointments
- Receive and make telephone calls as required
- Issue, request repeat and acute prescriptions
- Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery
- Contact patients in the event of any changes to their booking or a clinic

What you'll learn
Course contents
Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.

Training schedule
Your full role and responsibilities will be set out by your employer. They will provide you with all of the on-the-job training you need to up-skill in your role, and your off-the-job learning will be incorporated as part of your working day. Off-the-job training will follow the time allocations outlined in the Occupational Standard.
You will be working towards the Business Administrator Level 3 apprenticeship standard, which includes:

This will be delivered by your dedicated training provider, Realise.
