Summary

As a Business Administration Apprentice and become a key part of our day-to-day operations. You’ll be a friendly first point of contact for visitors, drivers, customers and colleagues, developing your admin, communication, organisational skills, answering phone and welcoming visitors to supporting enquiries

Wage £15,808 for your first year, then could increase depending on your age

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

  • Provide administrative support to the director and wider management team
  • Produce letters, reports, forms, minutes and business correspondence
  • Maintain accurate electronic and paper filing systems
  • Scan, photocopy, archive and retrieve documents as required
  • Organise and maintain confidential records
  • Support diary management, meeting arrangements and room bookings.
  • Assist with preparing documents for meetings, audits and inspections
  • Data entry and information management
  • Input information accurately into business, staffing and care management systems
  • Update electronic databases and spreadsheets
  • Ensure records are accurate, current and appropriately stored
  • Generate reports and information requested by managers
  • Monitor data quality and highlight discrepancies
  • Maintain confidentiality when handling sensitive personal information.

Reception and Customer Service

  • Welcome visitors, relatives, professionals and contractors
  • Answer telephone calls promptly and professionally
  • Respond to enquiries or direct them to the appropriate person
  • Manage incoming and outgoing post
  • Ensure reception areas remain welcoming and professional

Family and Service User Communication

  • Contact families regarding reviews, appointments, meetings, events and general service updates
  • Support communication relating to admissions and enquiries
  • Provide information to prospective service users and relatives
  • Maintain professional, courteous and compassionate communication at all times
  • Escalate concerns or complaints appropriately

What you'll learn

Course contents

Skilled in the use of multiple IT packages and systems relevant to the organisation in order to:

  • write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages.
  • Able to choose the most appropriate IT solution to suit the business problem.
  • Able to update and review databases, record information and produce data analysis where required.

Produces accurate records and documents including:

  • emails, letters, files, payments, reports and proposals.
  • Makes recommendations for improvements and present solutions to management.
  • Drafts correspondence, writes reports and able to review others' work.

Maintains records and files, handles confidential information in compliance with the organisation's procedures.

Coaches others in the processes required to complete these tasks.

Exercises proactivity and good judgement.

Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way.

Seeks advice of more experienced team members when appropriate.

Builds and maintains positive relationships within their own team and across the organisation.

Demonstrates ability to influence and challenge appropriately.

Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.

Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms.

Uses the most appropriate channels to communicate effectively.
