About Tynemouth Coffee

Tynemouth Coffee is an independent North East coffee roaster and supplier based in North Shields. We provide roasted coffee, equipment, training and ongoing support to hospitality businesses, offices, retailers and home customers through wholesale, e-commerce, subscriptions and direct delivery.

We are investing in our brand, people, production capacity and systems as we work towards becoming one of the UK's most respected coffee supply companies.

The role

The Administration Manager will own the day-to-day administrative rhythm of the business, ensuring that customer accounts, invoices, records, operational information and management actions are accurate and completed on time. This is an ownership role for someone who will chase actions, prevent errors and improve the way we work.

What you'll own

  • Finance administration: Invoicing, customer-account setup, credit control and organised month-end support.
  • Orders and customers: Standing-order changes, account records, queries, complaints and corrective actions.
  • Operational coordination: Accurate information for production, warehouse and delivery teams, including urgent amendments.
  • Business records: People administration, training records, supplier documents, maintenance information and controlled SOPs.
  • Management support: Weekly reporting, action tracking and clear escalation of overdue debt, missed deadlines and customer risks.
  • Continuous improvement: Removing duplicated work, strengthening processes and helping automate repetitive administration.

What we're looking for

  • Strong administration, office-management, customer-operations or business-support experience in a busy organisation.
  • Experience with Xero or a comparable accounting system, together with confident spreadsheet skills.
  • Excellent accuracy, organisation and follow-through, with the confidence to pursue information and overdue payments.
  • A calm, practical and commercially aware approach to customer service and problem-solving.
  • Experience in wholesale, food and drink, hospitality, manufacturing, logistics, Shopify or subscription management would be advantageous.
