Are you an organised, proactive administrator who thrives in a fast-paced environment? We are looking for a Regional Administrator to join our Defence Wales & West team, providing essential support to the Business Director and Regional Management Team.

This is an exciting opportunity to play a key role within a busy and dynamic operation, ensuring the smooth coordination of administrative activities that support business performance, operational excellence and client satisfaction across the region.

About The Role

As Regional Administrator, you will be the central point of coordination for a wide range of administrative and organisational activities. Working closely with the Business Director and regional leadership team, you will help ensure key business objectives, contractual obligations and performance targets are achieved.

No two days are the same, and you'll be responsible for everything from diary management and travel coordination to preparing business reports, organising meetings and supporting regional communications.

Key Responsibilities

  • Provide comprehensive administrative support to the Business Director and management team.
  • Manage diaries, meetings and appointment scheduling.
  • Coordinate travel and accommodation arrangements using company-approved systems.
  • Prepare presentations, reports, statistics and management information.
  • Organise regional meetings, including agenda preparation, minute taking and distribution.
  • Support the preparation of quarterly and bi-annual business review presentations.
  • Manage regional trackers, holiday planners and attendance records.
  • Process expenses and maintain various company systems and portals.
  • Support payroll administration through the Online Labour Management system (OLLM).
  • Coordinate DBS applications and related documentation.
  • Support investigations, disciplinary and grievance meetings through note taking.
  • Manage shared folders, document storage and business records.
  • Produce internal communications and regional updates.
  • Coordinate leadership visits, conferences, sponsorship events and business activities.
  • Support employee recognition programmes, referral schemes and charity initiatives.
  • Ensure office supplies and stationery are maintained at all times.
  • Assist with mobilisation projects and other administrative duties as required.

What We're Looking For

Essential

  • Previous administrative experience within a busy office environment.
  • Excellent organisational and time management skills.
  • Strong attention to detail and ability to manage multiple priorities.
  • Advanced knowledge of Microsoft Office, including Word, Excel, Outlook and PowerPoint.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong communication and interpersonal skills.
  • A proactive, flexible and positive approach to work.
  • Ability to work independently whilst supporting a wider team.

Desirable

  • Experience working within a military or defence environment.
  • Understanding of business operations and contract management.
  • NVQ in Business Administration, Office Administration or equivalent qualification.
