Pinar Care is looking for a highly organised and proactive Business Administrator to support our Executive Director and help coordinate acquisition and integration activity across our growing organisation.

This is a varied role combining executive support, project coordination, corporate administration and stakeholder communication. You will play an important part in keeping priorities, meetings, actions and deadlines clearly organised while ensuring senior leaders have accurate and up-to-date information.

Key Responsibilities

  • Provide high-quality administrative and personal assistant support to the Executive Director and, where agreed, other senior leaders.
  • Coordinate diaries, meetings, travel, correspondence, presentations and briefing materials.
  • Prepare agendas, take accurate minutes and follow up agreed actions.
  • Maintain acquisition and integration plans, trackers, deadlines and supporting documentation.
  • Monitor progress across different workstreams and obtain updates from action owners.
  • Identify and escalate delays, risks, dependencies and missing information.
  • Coordinate acquisition, due-diligence, mobilisation and integration meetings.
  • Maintain risk, issue, decision and action logs.
  • Support Day 1 and post-completion activities, including Day 30 and Day 60 action tracking.
  • Maintain acquisition pipeline information, stakeholder contact lists, organisation charts and document indexes.
  • Administer secure data rooms and document repositories.
  • Support Companies House submissions and maintain corporate registers and governance records.
  • Liaise professionally with solicitors, accountants, brokers, advisers, sellers and internal teams.
  • Handle confidential and commercially sensitive information with discretion.

About You

You will have previous experience in a senior administrative, executive assistant, business support or project coordination role. You will be confident working independently, managing competing priorities and communicating with senior stakeholders.

You will also need:

  • Exceptional organisation and attention to detail.
  • Strong written and verbal communication skills.
  • Experience preparing meeting papers, taking minutes and maintaining action trackers.
  • The confidence to obtain updates, challenge delays professionally and escalate concerns appropriately.
  • Excellent Microsoft 365 skills, particularly Outlook, Teams, Word, Excel and PowerPoint.
  • Sound judgement and the ability to handle confidential information.
  • A proactive, resilient and collaborative approach.
  • GCSE-level English and mathematics, or equivalent.

Experience within health or social care, acquisitions, due diligence, organisational integration, Companies House administration or corporate governance would be advantageous but is not essential.

The position is predominantly remote and home-based. Occasional travel to meetings, care services and other company locations will be required, sometimes at short notice during active acquisition or mobilisation periods.
