About the Role

Portsmouth City Council are offering a great opportunity for an apprentice to support the administration and governance of the Asbestos Service and the administration of projects. Candidates must be enthusiastic, effective communicators with excellent attention to detail, and able to manage multiple demands and workstreams.

What you'll do at work

Sitting within the Housing, Neighbourhoods and Building Services directorate, you will be directly reporting to the Asbestos Manager and supporting them and the Compliance Manager by:

  • Arranging and providing administrative support in meetings including the production of agendas, meeting minutes, risk registers and management of action logs.
  • Uploading and monitoring information on our IT systems, for example reviewing, interrogating and updating compliance activities on the Repairs and Maintenance Databases and PowerBi Dashboards.
  • Supporting with the organising, producing and printing of asbestos management plans.
  • Supporting with general administrative duties, including sending letters, raising orders, arranging appointments with sites and clients, providing information to asbestos consultants and dealing with asbestos queries.
  • Arranging appointments for the asbestos surveyors to undertake surveys with building users.
  • Supporting with the compliance inbox specifically in relation to asbestos management.
  • Managing the administrative duties related to asbestos surveys, sampling and certification in order to ensure accurate record keeping related to asbestos management.

What you'll learn

Course contents

Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.

Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.

Training schedule

You will be undertaking the Level 3 Business Administrator Apprenticeship Standard and fully supported by HTP Apprenticeship College.

You will be developing Knowledge, Skills, and Behaviours in the following areas:

  • IT
  • Record and Document Production
  • Decision Making
  • Interpersonal Skills
  • Quality Planning
  • Project Management
  • Business Processes

As part of the off-the-job training, you will complete a portfolio of evidence, attend online workshops, have time to study independently, undertake research and write assignments.

The apprenticeship is assessed independently at the end of the practical training. The assessments include an online multiple-choice test, a business project and presentation and a professional discussion based on a portfolio of evidence.

Desirable qualifications

GCSE in:

  • English & Maths (grade 4-9 or A*-C)
