Administrative Apprentice

An opportunity has arisen for an exceptional Administrative Apprentice to join the outstanding Admin Team at CTK. This is a full-time, all-year-round role. The hours of this vacancy are 8.30am - 4.30pm, 4 days a week and 1 day on training. This is an excellent opportunity to join a talented staff team in a professional centre for excellence.

What You'll Do at Work

  • Input, maintain, and manipulate relevant data using the Sixth Form’s Information and Recording systems, producing documents, reports, and correspondence as required
  • Produce well-laid out and accurate emails, letters, documents, and reports for internal and external use
  • Maintain accurate records and well-organized, comprehensive online and physical filing systems
  • Copy, collate, and distribute documentation to relevant personnel
  • Handle communications with students and parents/guardians in support of front-of-house duties
  • Liaise with a range of people, ensuring that communications are accurate and reflect the efficient operation and ethos of the Sixth Form
  • Word process letters and documents for internal and external use
  • Proficiently use computer applications and software packages, including PowerPoint, Excel, and other Office 365 tools, as needed to complete tasks efficiently and effectively
  • Ability to work flexibly with some attendance required at scheduled evening or weekend events
  • Support and contribute to a range of administrative functions as required
  • Taking part in professional development activities including appraisal
  • A commitment to Equity, Diversity, and Inclusivity underpinned by willingness and ability to contribute to the holistic implementation of this demonstrated in performing the duties of the post
  • Undertake other tasks as required by the Office Manager & PA, Head of Administration, Deputy Principal, or Executive Principal after due consultation

What You'll Learn

Course Contents

  • Manages strategies set by senior personnel and drafts budgets that reflect them.
  • Manages the accurate recording and reporting of the school’s finances to inform the senior leadership team who set the priorities for school spending.
  • Completes pre-audit checks.
  • Produces reports that present information and data using a range of analytical processes.
  • Plans, organises, and manages processes to ensure value for money for the school whilst supporting education delivery, e.g., contract management, payroll, building maintenance, and small development projects.
  • Uses multiple IT packages and specialised schools MIS (management information systems) platforms.
  • Prepares and collates reporting data.
  • Embraces change in a school and influence others in a positive manner.
  • Works constructively within a team environment.
  • Communicates appropriately and effectively with a range of stakeholders including students, parents, governors/trustees, staff, government and local government departments, e.g., DfE/ ESFA, to gain positive outcomes.
  • Has the confidence to question or seek clarification of aspects of school practice when unsure or unclear.
  • Manages support services across an entire school whilst also providing guidance to colleagues on the most appropriate use of school funding.
  • Effectively line manages small teams to drive efficiencies.
