Business Administrator Apprentice

Summary

Wage:

  • £12,480 for your first year, then could increase depending on your age
  • National Minimum Wage rate for apprentices

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

  • Learning and using our CleanLink management system
  • Maintaining employee records and ensuring information is kept accurate and up to date
  • Assisting with new starter administration and employee documentation
  • Supporting the administration of holidays, sickness, and absence
  • Assisting with payroll preparation, including checking employee hours and records
  • Helping to deal with basic employee payroll queries
  • Answering incoming telephone calls and directing enquiries to the appropriate member of the team
  • Communicating professionally with employees, customers, and suppliers by telephone, email, and messaging systems
  • Monitoring incoming office emails and assisting with routine enquiries
  • Uploading and maintaining documents within company systems
  • Data entry and general record keeping
  • Filing and maintaining electronic records
  • Assisting with stock and uniform requests
  • Supporting the administration of employee training and induction records
  • Helping to ensure employee information and documentation is complete
  • Assisting the management team with day-to-day operational administration
  • Preparing basic reports, spreadsheets, and documents
  • Learning how cleaning contracts are administered and supported from the office
  • Supporting customer service and helping ensure enquiries are followed up
  • General office administration and other reasonable duties as required

As the apprentice develops within the role, they will be encouraged to take greater responsibility for their own areas of administration. This list is not exhaustive, and full training will be provided.

What you'll learn

Skilled in the use of multiple IT packages and systems relevant to the organisation to:

  • Write letters or emails, create proposals, perform financial processes, record and analyse data.
  • Choose the most appropriate IT solution to suit the business problem.
  • Update and review databases, record information, and produce data analysis where required.
  • Produce accurate records and documents including: emails, letters, files, payments, reports, and proposals.
  • Make recommendations for improvements and present solutions to management.
  • Draft correspondence, write reports, and review others' work.
  • Maintain records and files, handle confidential information in compliance with the organisation's procedures.
  • Coach others in the processes required to complete these tasks.
  • Exercise proactivity and good judgement.
  • Make effective decisions based on sound reasoning and deal with challenges in a mature way.
  • Seek advice from more experienced team members when appropriate.
  • Build and maintain positive relationships within their own team and across the organisation.
  • Demonstrate ability to influence and challenge appropriately.
  • Become a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrate good communication skills, whether face-to-face, on the telephone, in writing, or on digital platforms.
  • Use the most appropriate channels to communicate effectively.

Requirements

Desirable qualifications:

  • GCSE in: English (grade 4)
  • Mathematics (grade 4)

Cleveland Cleaning Ltd is an established, family-run commercial cleaning company providing cleaning services to businesses and organisations across Shropshire and the West Midlands. Our office team supports a large workforce of cleaning operatives working across a wide range of customer sites.
