Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

This is an opportunity to gain experience across IPSEA’s Training and Volunteer functions, supporting the delivery of services to professionals and families. The role combines administrative support, coordination, and communication, alongside a structured apprenticeship programme leading to a recognised qualification. You will learn how to:

  • Support training delivery (including e-learning and live sessions
  • Communicate with customers and service users
  • Support volunteer processes
  • Work within a legal and safeguarding-focused environment

Key Responsibilities

Training Team Support

  • Set up online and in-person training sessions (e.g. scheduling, materials, delegate lists)
  • Support the administration of e-learning and spot-purchase courses
  • Respond to enquiries from training customers in a timely and professional way
  • Maintain accurate records of bookings, attendance, and feedback
  • Assist with updating training materials and systems (e.g. LearnUpon or equivalent)
  • Support accessibility checks for training materials (where appropriate)
  • Support online delivery of training

Volunteer Administration

  • Support administrative processes for recruitment and onboarding of volunteers
  • Maintain volunteer records and databases accurately
  • Assist with communication to volunteers (e.g. updates, training information etc)
  • Support coordination of volunteer training sessions and events
  • Rebook and rearrange advice line appointments if required
  • Assist with the allocation of information service queries
  • Assistance with the administration of TSS referrals and waiting lists

General Administrative Support

  • Draft and send professional emails and communications
  • Maintain accurate records in line with data protection requirements
  • Support meeting organisation (including agendas and notes where appropriate)
  • Work across teams to support day-to-day operations
  • Answer office telephone calls

What you'll learn

Course contents:

  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages.
  • Able to choose the most appropriate IT solution to suit the business problem.
  • Able to update and review databases, record information and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals.
  • Makes recommendations for improvements and present solutions to management.
  • Drafts correspondence, writes reports and able to review others' work.
  • Maintains records and files, handles confidential information in compliance with the organisation's procedures.
  • Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement.
  • Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way.
  • Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation.

Essential qualifications

  • GCSE in: English (grade Grade 5 or equivalent)
  • Maths (grade Grade 5 or equivalent)

Essential

  • Strong organisational skills and attention to detail

The office is in a semi-rural location and it is advised that travelling by car is the best option. However, some bus routes are a short walk away (e.g. 302, 305, 509, 333, X20). This is a hybrid role with some days based in our office in Takeley and up to three days working from home. You will be provided with the office equipment you need, but you should be familiar with Teams and Zoom and have a suitable quiet area to work from at home. You will need a desk and an appropriate chair for working on a laptop. Dates are subject to change.
