Remote, United Kingdom. You can work from anywhere in the UK, and we need you online during UK working hours.
Contract type
Sub-contractor to start with, with the possibility of transitioning to permanent employment after 3-6 months.
Hours
Full time, 37.5 hours per week
Reporting to
Our founder and CEO, with day-to-day direction on operations work from our Operations Manager.
Probation period
Six months
What this role is for
You will take the routine administration off two desks: our founder's and our Operations Manager's. About half your week will be order processing and the administration behind our warehouses, retailers and distributors. The other half will be our founder's diary, inbox, travel and paperwork, and the finance administration that goes through to our accountants. The point of the role is that things stop needing anyone's attention. Doing it reliably is what makes everything else here possible. Being AI savvy and enjoying building automations with tools like Claude is a plus.
On a typical day you will
- Process orders across our sales channels and check they have gone through cleanly.
- Chase a stuck order with a warehouse or a courier, using the process we have written down for it; part of our customer support.
- Raise wholesale and retail invoices, and follow up the ones that are overdue.
- Move meetings around our founder's week, book travel, and get the paperwork ready ahead of an external meeting. Small market research tasks to assist founder with R&D and distribution strategy.
- Put expenses and supplier invoices through to our accountants.
- Update the operational trackers so the numbers people rely on are current.
- Write down how you did something, so the next person does not have to ask.
Most of your time will go on order processing and the administration around it. It is hands-on and repetitive by design. If that is not the work you want, this is not the role for you.

What success looks like
After your six-month probation, we would expect that:
- Orders are processed the same working day they arrive.
- Our Operations Manager spends her week on planning, suppliers and retail account management rather than on order entry. We will ask her directly.
- Nothing routine waits on our founder. Small administrative requests are closed within one working day.
- Every recurring task you have taken on has a written process against it that someone else could follow.
About you
You are the kind of person who takes a quiet pride in repetitive work being right. You keep track of a lot of small things without needing to be reminded, and you would rather ask a short question early than guess and find out later.
Your values and working style
- You say what is happening. When something is going to be late or has gone wrong, you tell people the day you can see it, not the day it lands.
- You are reliable about the small things. Other people's work depends on yours being done, and you treat that as the job rather than as an inconvenience.
- You notice. When something does not look like it did last time, you flag it rather than processing it anyway. Impeccable attention to detail is a must.
- You handle confidential information carefully, because you will see a lot of it.
Essential experience
- Administrative or operations support in a product, e-commerce or logistics business.
- Order processing, or experience of the order-to-cash cycle.
- Supporting a founder or a senior manager directly, including diary and inbox as needed.
- Comfortable working in spreadsheets.
Desirable experience
- Shopify, a warehouse management system, or working with a third-party logistics provider.
- A retailer account such as Boots.
- Putting expenses and invoices through to an external accountant.
- Using AI tools to speed up routine work.

About us
NMN Bio makes science-led longevity supplements. We sell direct to customers on subscription, into around 600 pharmacies, and through distributors in the UK, Europe and the Middle East. Around 70% of our customers come back. We are a small remote team and we are growing into two new markets this year.
