4way Consulting is a design and engineering consultancy specialising in the delivery of intelligent transport systems (ITS), traffic signals and road lighting services in both the strategic and urban road sectors. Our range of services includes ITS infrastructure design, ITS operational consultancy, road lighting consultancy and design, traffic signals consultancy and design, motorway and all-purpose trunk road development, smart cities consultancy and design, technology implementation, management and commissioning, business strategy, feasibility studies and value management.

Since our inception in 2010 we have grown in a sustainable manner through high volumes of repeat business and new project work, won on the strength of our reputation for delivering high quality in the most demanding of environments. Consistently ranked in the top ten of ITS consultancies in the annual CIHT Consultants Directory we are now seeking to propel 4way to new heights and are looking for high calibre individuals at all levels to join us on our journey.

Role

Taking the lead as Business Administrator, based in either our Birmingham or Manchester office, you will provide a comprehensive and proactive administrative service across the business. This is a varied role working closely with colleagues across operations, project delivery, finance, quality, health and safety, learning and development, and business support.

Reporting to the Operations Director, you will help ensure that key business processes are well organised, consistently followed and continually improved. The role will suit someone who enjoys variety, takes pride in accuracy and organisation, and is confident working with people at all levels across the business.

Main Duties

  • Business support – handling general correspondence, maintaining business records and trackers, supporting internal communications, organising meetings, events and travel, and responding to queries from internal and external stakeholders;
  • Project support – supporting project set-up, maintaining project records, assisting with project and financial reporting, supporting the management of task orders, and handling new client and supplier applications;
  • Quality, compliance and health and safety – supporting internal and external quality audits, maintaining evidence and records to support ISO9001 certification, assisting with health and safety administration, and helping to ensure business processes and procedures are followed consistently;
  • Finance and commercial administration – supporting purchase order administration, filing contract and commercial documentation, assisting with timesheet compliance and reporting, and helping maintain accurate records for business and project reporting;
  • People and learning administration – supporting onboarding administration, maintaining training and development records, coordinating learning and development activities, and assisting with people-related administration where required;
  • Process improvement – helping to refine business processes, templates, trackers and tools to improve efficiency, reduce duplication and support consistent ways of working across the business; and
  • Communication and engagement – acting as a professional point of contact for the business, ensuring queries are followed up appropriately, information flows effectively and colleagues receive timely administrative support.

Attributes and Experience

The successful candidate will possess the following attributes and experience:

  • A self-starter who is comfortable working autonomously when required;
  • Strong organisational skills, with excellent attention to detail and the ability to maintain accurate records;
  • Excellent time management and prioritisation skills, with the ability to manage competing tasks and deadlines;
  • A natural ability to collaborate with colleagues at all levels across the business and tailor their approach to suit the audience;
  • Strong written and verbal communication skills;
  • Confidence handling sensitive information with the strictest confidence and discretion;
  • A keen interest in finding new ways of working and improving business processes;
  • Strong competence in Microsoft 365, including Outlook, Word, Excel, Teams and SharePoint;
  • A practical, positive and flexible approach, with a willingness to support a broad range of business activities;
  • Good numeracy and accuracy when dealing with timesheets, purchase orders, project records or financial information; and
  • Experience in an administrative, business support, project support or office coordination role would be advantageous.
