Job Description

  • Full time, permanent.
  • Working hours: Monday - Friday, 9:00 - 17:00. 4 days per week based in Linlithgow and 1 day per week based in Livingston.

Purpose of the post

As Business Administrator, you will provide to all departments within both of our Laboratories, duties include:

  • Provide administrative support, to all areas of the business, with focus on operations, finance and purchasing.
  • Handle incoming communication and provide information to other finance departments within the organisation and suppliers.
  • Provide further information, such as copy invoices & statements, as required to facilitate payment.
  • Manage buildings and facilities related issues including H&S administration– both internal and external.
  • Liaise with Eurofins Account Receivable team to accurately assign and record credit notes and payments.
  • Responsible for creating and managing blanket POs for all services required for the buildings or the labs.
  • Responsible for arranging services i.e. printers, tenancy queries, and utilities as and when required to ensure business runs smoothly, using suppliers listed on Coupa and making payment. All service invoices utilities/rates/waste/ and any further ad hoc suppliers.
  • Coordinate travel and events where required.
  • Utilise MS Office tools (Excel, Teams, Outlook, etc.) to communicate.
  • Use various software systems (internal Eurofins and MS Access) to track performance and provide additional information.
  • Arrange PUID numbers and Access Cards for all new Eurofins employees.
  • Provide a high level of internal and external customer care.
  • Maintain and administer company records, systems, assets, contracts and business processes.

Qualifications

Our ideal candidate will have experience in the following:

  • Understanding of finance, AR, AP.
  • Experience in working in part of a team.
  • Understanding of COUPA.
  • Experience of work in an administrative role.
  • MS Office.
  • Good organisation and time management.
  • Good verbal and written communication skills.
  • Ability to self-manage.
  • Attention to detail.
  • Flexible and supportive approach.
  • Experience in a finance related role (desirable, not essential).
  • Good Excel Skills, e-LIMS FGS and MS related software (desirable, not essential).
  • Hands-on experience with Coupa (desirable, not essential).
  • Experience of work in lab testing company (desirable, not essential).
