We have an exciting opportunity for a Business Assistant to join our team within the Directorate of Mental Health.

The Huntington’s Disease Community Team support people who live in Leicester, Leicestershire and Rutland, as well as Northamptonshire. The service gives advice and help to people who have Huntington’s disease, as well as those who have a family history of the condition.

The team is based at Stewart House in Narborough and the role is full time Mon to Fri 9am - 5pm.

We have access to a range of specialist services, which helps us give full and complete care. Our aim is to make sure our patients feel well supported. We also work closely with the inpatient service at Mill Lodge in Leicester, which provides healthcare 24 hours a day, 7 days a week for people living with Huntington’s disease.

We also provide an advice service in Northamptonshire, where we work with local GPs to support their patients.

We work with many different healthcare professionals and send referrals to them when needed. By working closely with these experts, we make sure referrals are made at the right time and match each person’s individual needs.

We are looking for candidates who are compassionate, hard working and able to support the clinical team with admin duties and be a part of the wider Rehabilitation Administration Team.

Job Description Summary (Main Duties And Responsibilities)

As a Business Administration Assistant, you will be required to:

  • Attend meetings, taking minutes/notes of multidisciplinary meetings, circulating documentation including identifying actions ensuring they are logged, prioritised, and are followed up.
  • Plan and organise training, appointments and events which will include co-ordinating travel arrangements and guest speakers.
  • Undertake diary management for yourself, and others and communicate effectively via email, including implementing a flagging/prioritisation system.
  • Create and format professional communications, such as letters, leaflets, presentations, reports and briefings to a high standard.
  • Order goods or services, monitor progress of orders, check receipt of goods or services to ensure invoices can be reconciled.
  • Deal with complaints and use your own initiative to solve problems and escalate where necessary.
  • Keep trackers up to date and monitor appointments progress.
  • Maintain data collection and its quality for SystmOne records.
