Business Assistant
Location: Bank Street, Canary Wharf
Contract: 3 month rolling
Work Setup: Onsite - 5 days in the office
We are looking for a proactive Business Assistant to join the Corporate & Investment Bank. The candidate will provide confidential, senior EA support in a fast-paced front office environment, demonstrating commercial awareness, sound judgement, and a strong work ethic. Applicants must have a solid PA/EA background, proven investment banking experience, excellent diary and inbox management, experience supporting senior stakeholders, and the flexibility to manage changing priorities with discretion.

What You'll Do
- Proactively manage complex diaries and high-volume email traffic, promptly arranging internal and client meetings and prioritizing competing requests.
- Serve as the first point of contact for internal and external clients, gatekeeping in person and by phone while providing polished, client-facing assistance.
- Coordinate and set up meetings, conference calls, and telepresence sessions, ensuring technology and logistics run smoothly for attendees.
- Arrange international and domestic travel in line with Corporate Policy, including flights, visas, accommodation, and ground transport, handling frequent last-minute changes and producing detailed itineraries.
- Process expenses and reimbursements via Concur, perform account reconciliations, and maintain accurate financial records.
- Act as a system functionality expert, completing precise data entry into internal MI systems and collating information for senior management reporting.
- Provide general administrative and team support (room bookings, filing, shared phone coverage), partnering with CIB assistants to ensure seamless cover during absences.

What You Bring
- Proven experience as an Executive Assistant within investment banking
- Proven ability to build and maintain professional relationships with clients, bankers, and support groups
- Fully competent in complex diary and Outlook calendar management, exercising sound judgement when prioritizing competing demands.
- Proactive, solution-oriented, and self-motivated with strong initiative; anticipates needs, follows up without prompting, and drives tasks to completion.
- Strong executive communication skills, able to manage expectations and liaise effectively across senior stakeholders and multiple hierarchies.
- Experienced in arranging complex travel and producing accurate itineraries (including contingency planning), with solid knowledge of expense systems, policy compliance, and cost control.
- Calm under pressure, detail-focused, and flexible; a collaborative team player who leads by example and partners effectively with peers.
