At United Infrastructure, we deliver essential infrastructure services across the UK, supporting customers and communities through our work in Water, Energy and Major Projects. As our business continues to grow, we are looking for a highly organised and proactive Business Operations Coordinator to become the face of our office and a key part of our support team.

This is an exciting opportunity for an experienced administrator who enjoys variety, thrives in a busy environment, and takes pride in delivering excellent service to colleagues, customers and visitors alike.

The Role

Reporting to the leadership team, you will provide comprehensive administrative, operational and reception support across the business. You will be responsible for ensuring the smooth running of day-to-day office activities, supporting business processes, coordinating meetings and communications, maintaining accurate records, and helping drive the digitalisation of administrative processes.

You will act as the first point of contact for visitors and provide a professional and welcoming experience while supporting a fast-paced operational business.

Key Responsibilities

Business & Administrative Support

  • Manage diaries, meeting schedules and room bookings.
  • Prepare agendas, minutes and action logs.
  • Handle incoming correspondence, emails and telephone enquiries.
  • Maintain accurate filing systems, records and business documentation.
  • Provide administrative support to managers and teams across the business.
  • Support the coordination of company meetings, training sessions and events.

Operational Support

  • Assist with the coordination of day-to-day business activities.
  • Monitor project actions, deadlines and key business tasks.
  • Support the implementation of business processes and procedures.
  • Assist with compliance activities, audits and governance requirements.
  • Help identify opportunities to improve efficiency and ways of working.

Financial Administration

  • Raise purchase orders and process supplier invoices.
  • Support expenditure tracking and budget monitoring.
  • Maintain supplier records and liaise with vendors where required.
  • Assist with employee expenses and payroll administration activities.
  • Ensure financial records are maintained accurately and in line with company procedures.

Data & Reporting

  • Produce reports, spreadsheets, presentations and management information.
  • Maintain business databases and ensure data accuracy.
  • Compile business information and produce summaries for managers.
  • Support reporting requirements across operational and support functions.
  • Ensure records remain current, accurate and audit-ready.

Digitalisation & Continuous Improvement

  • Support the digitalisation of existing administrative processes.
  • Identify opportunities for automation and process improvement.
  • Assist with the implementation of new systems and technologies.
  • Promote efficient and effective ways of working across the business.

Reception

  • Act as the first point of contact for visitors, customers and suppliers.
  • Welcome visitors and manage sign-in and security procedures.
  • Answer and direct incoming telephone calls and enquiries.
  • Maintain a professional and welcoming reception environment.
  • Manage incoming and outgoing post, deliveries and courier services.
  • Coordinate visitor passes and meeting room bookings.
  • Prepare meeting rooms and ensure facilities are ready for business meetings.
  • Order office supplies, refreshments and stationery.
  • Liaise with contractors, suppliers and building management.

About You

We are looking for someone who is highly organised, professional and customer focused, with the ability to manage multiple priorities while maintaining exceptional attention to detail.

Essential Skills & Experience

  • Previous experience in an administrative, office support or business support role.
  • Strong organisational and planning skills.
  • Excellent verbal and written communication skills.
  • Strong customer service and stakeholder management abilities.
  • Proficiency in Microsoft Office, including Excel, Word, PowerPoint and Outlook.
  • Excellent attention to detail and accuracy.
  • Ability to manage competing priorities and meet deadlines.
  • Professional and confident approach when dealing with visitors and stakeholders.
  • Ability to work independently and as part of a wider team.

Desirable

  • Experience within construction, engineering, infrastructure or utilities.
  • Experience supporting finance administration processes.
  • Knowledge of document management systems.
  • Experience supporting digitalisation or business improvement initiatives.
  • Experience working in a fast-paced operational environment.
