Reports to: Martin Coburn (Managing Director) and Lisa Ryan (Client Partner)

Location: Fully remote, UK-based

Hours: Full-time 37.5 hours per week (with flexibility)

Start date: November 2026

Salary: £45,000 - £52,000 depending on experience

Purpose of the Role

This is a fully remote role that sits at the centre of Natural Direction's operations.

You'll own the systems, processes and day-to-day operations that keep the business running smoothly behind the scenes. From client project management and executive support to finance and systems administration, you'll ensure the operational foundations of the business are organised, accurate and reliable.

You'll be responsible for maintaining the infrastructure that allows the team to focus on delivering exceptional work for clients, you'll be the person making sure nothing falls through the cracks.

Whilst administration is a key part of the role, the ideal candidate will be comfortable operating at senior level and taking key decisions and running projects independently. We're looking for someone who enjoys bringing structure to complexity, improving processes and taking ownership of how things are done. Someone who sees inefficiency and fixes it. Someone who takes pride in creating order, consistency and operational excellence.

What the role involves

Process Improvement and Operational Excellence

  • Identify opportunities to simplify, streamline and improve operational processes
  • Maintain and improve SOPs, templates and operational documentation
  • Use AI and automation tools to improve efficiency, quality and consistency
  • Recommend and implement improvements to systems, workflows and ways of working
  • Help raise the operational standard of the business over time

Business Systems and Infrastructure

  • Own and maintain key business systems including HubSpot, Xero, Google Workspace, Kajabi and related platforms
  • Maintain accurate commercial and operational data across systems
  • Manage user access, licences, subscriptions and renewals
  • Maintain shared inboxes, folder structures and operational documentation
  • Ensure systems, templates and resources remain organised, current and easy to use
  • Support the setup and administration of business tools and operational workflows
  • Maintain the facilitator list: contacts, day rates, programme fit
  • Own supplier relationships including courier and print house
  • Own materials production and logistics: printing, shipping and tracking of workbooks, decks and handouts

Executive Support to Martin

  • Manage Martin's diary and priorities, ensuring time is protected and commitments are coordinated effectively
  • Exercise sound judgement on what can be handled independently and what requires escalation
  • Act as a first point of coordination for operational and administrative requests
  • Support meeting preparation, follow-up actions and key business administration
  • Manage expenses and other executive administration activities

Financial Operations

  • Own the invoicing process from creation through to payment tracking, ensuring accuracy and timely cash collection
  • Manage credit control activity and follow up outstanding invoices professionally
  • Process and monitor supplier payments
  • Manage supplier onboarding, including contracts, banking details and tax documentation
  • Maintain accurate records of client contracts, MSAs and Statements of Work for facilitators and clients
  • Support financial reporting through accurate record keeping and administration

Essential Skills and Experience:

  • Strong Xero experience, including invoicing, supplier payments and financial administration.
  • Experience maintaining and managing CRM systems, ideally HubSpot.
  • Experience providing direct PA, EA or executive support to a senior leader.
  • Experience coordinating business operations, administration or finance processes in a fast-paced environment.
  • Demonstrable ability to manage high volumes of administrative work accurately and consistently.
  • Solid PowerPoint and Canva skills.
  • Strong written communication skills, with the judgement and professionalism to represent the business in written correspondence.
  • Demonstrable experience improving processes, creating systems or introducing more efficient ways of working.
  • Genuine curiosity about AI tools and a desire to use them to improve quality, efficiency and consistency.
  • High level of confidence in learning and adopting new technology platforms.
  • Excellent organisational skills and the ability to manage multiple competing priorities.
  • Experience handling confidential commercial, financial or people-related information with discretion.
  • UK-based and able to work effectively in a fully remote, high-autonomy environment.
